Position Summary: The Stewardship Coordinator plays a vital role in supporting the stewardship and engagement of the Bellevue University Foundation, including electronic and written stewardship communication, expendable and endowed donor impact reports, constituent and grant research, and special event support. Reporting to the Director of Advancement Services, this position provides essential administrative and operational support. Be a part of a team in building upon a strong tradition of thanking and reporting to current and new donors. The ideal candidate will leverage their expertise to advance the university’s mission as a sustainable academic institution dedicated to excellence.

 

Key Responsibilities:

  • Provide administrative support to team members, ensuring efficient operations and seamless collaboration.
  • Draft and prepare acknowledgment letters and other communications to enhance donor engagement and advance the stewardship mission.
  • Manage tasks related to the department's electronic and printed communications.
  • Provide support for special events, including those occurring outside standard business hours.
  • Conduct constituent and grant research to support fundraising and stewardship initiatives.
  • Assist in preparing donor impact reports to highlight the value and outcomes of contributions.

 

Essential Functions:

 

Operational Effectiveness and Efficiency

  • Works to build a culture of gratitude and ensures that donors are appreciated, informed and engaged.

  • Work with both a broad range of university-wide colleagues and external constituents and is highly service oriented.

  • Assist with donor and grant research.
  • Ensures pledge and contribution transactions are accurately processed and acknowledged, in adherence to prescribed timelines and applicable institutional and federal specifications or restrictions.

 

Stewardship and Communications

  • Assists with electronic and printed communications including donor reports.
  • Assist with compiling data, planning, organizing and execution of stewardship projects and events.
  • Provides administrative support to members of the team and works in collaboration to support the stewardship efforts of the office and build strong partnerships with BU leadership.
  • Manages department’s email accounts and Webform submissions.

 

Technological Proficiency

  • Participates in inter-departmental collaborations to analyze existing procedures to design strategies to improve or leverage vendor; online, and in-house resources to efficiently and accurately maintain academic, biographic, demographic, and/or financial information for all University constituents; such as current and former students, current and former donors, faculty and staff members, corporate partners, and external organizations.
  • Collects and maintains stewardship activities in Salesforce.

Office Ambassador 

  • Provides outstanding customer service consistent with the department’s mission to all internal and external clients.
  • Builds strong partnerships with University leadership, the academic units, other University departments.
  • Responds to external requests for information, materials, and assistance
  • Support projects, events, and processes at all levels in respond to the needs of the overall team.

Skills & Abilities:

Education: High School diploma or equivalent required, College degree preferred.

 

Experience: Minimum of five (5) years executive level administrative support, relationship building, and superior customer service.

  • Must be ability to handle multiple tasks simultaneously, while producing timely quality work.
  • Strong written, verbal, and interpersonal communication skills required.
  • High degree of confidentiality when working with sensitive donor data.
  • Able to work independently and as part of a team.
  • Able to initiate and complete projects and provide donor support with little supervision while exercising good judgment.
  • Ability to interact effectively with donors, alumni, civic leaders, vendors and university personnel at all levels.
  • Customer focused, with the ability to gather information, research concerns and resolve issues.
  • Strong organizational skills, self-confidence, assertiveness, diplomacy and professionalism to interface effectively in varied situations with persons from diverse educational and professional backgrounds.
  • Requires the ability to maintain strict level of confidentiality in the handling of account and donor information.

Computer Skills: Strong working knowledge of Microsoft Office software and database systems required.
