Work Schedule: 8:00am - 5:00pm (slight flexibility on starting & ending), Monday-Friday - Hybrid, onsite 3 days/week
Your Impact:
- Provide administrative and programmatic support to the CFO, the Finance team, and the Asset Management team.
- Proactively manage an extremely active calendar to ensure CFO priorities are met and those who need it have access to the CFO’s time and attention.
- Oversee planning and logistics for the Finance and Audit Committee of the Board of Directors, including acting as liaison to coordinate materials collection and distribution, preparing agendas, securing room reservations, overseeing setup/cleanup, and managing food orders.
- Establish, develop, and maintain accurate Committee records (minutes, resolutions, and other key documents).
- Organize travel and conference plans and schedules.
- Work with the CFO and their direct reports to develop and schedule collaborative meetings for several recurring processes including the annual operating budget process, capital budget process, quarterly status meetings, quarterly financial results reviews, regular staff meetings, and other cross-organizational collaborative meetings.
- Manage birthday and work anniversary recognition program for Finance team members and Asset Management team members, including collecting well wishes on cards and procuring recognition gifts.
- Track expenditures, collect receipts, and submit expense reports for the CFO.
- Serve as the CFO’s primary point of contact for internal and external stakeholders, including outside vendors (auditors, bankers, lenders, investors, and other key stakeholders). Coordinate meetings and follow-up actions when necessary.
- Communicate key team initiatives and decisions to all employees.
- Coordinate venue, agendas, outside participants, and other elements of team meetings.
- Act as a barometer within the organization, having a sense of issues taking place in the environment and keeping the CFO informed.
- Coordinate with the CEO’s Executive Assistant for Committee items that require attention of the Board of Directors (policy changes, resolutions, etc.).
- Understand and manage Committee compliance with various governance rules and regulations, including organizational articles and bylaws.
- Act as backup to the CEO’s Executive Assistant for board and committee support during scheduled absences (reciprocal).

- Contribute and participate as a member of the Bellwether team to troubleshoot problems as they arise, suggesting/initiating procedural changes as needed.
- Work together with all Bellwether coworkers to learn effectively from and with each other, and to incorporate lessons learned.

Requirements
Who You Are:
- Minimum of 2 years experience providing administrative and programmatic support to executive-level leadership.

- Exceptional customer service ability, including problem-solving skills, and the ability to respond quickly and tactfully to customer requests.
- Ability to exercise discretion and maintain confidentiality at all times.
- Licensed notary in Washington state OR willingness to obtain this within 60 days of employment.
- Bachelor’s degree or equivalent education/experience.
