Position Overview: As the Front Desk Coordinator, you’ll be responsible for fostering a welcoming and inclusive environment. In this role, you will perform a variety of administrative and clerical tasks in support of the administrative office(s) and organizational initiatives at Bellwether Housing.
Work Schedule: Onsite, Monday–Friday, 8:00 am – 4:00 pm. The final schedule is to be determined by the supervisor.

Your Impact:
- Assist in managing the day-to-day workflow of office operations, assisting with parking assignments and desk assignments
- Coordinate the mailing of letters and packages through USPS and FedEx; assist with mass mailings projects, including preparing labels, stuffing envelopes, and processing postage via postage meter machine
- Scan, sort, and distribute incoming mail and packages
- Monitor the Bellwether general email inbox
- Monitor and respond to requests in the Office Management email inbox
- Answer phone calls and route calls to appropriate departments
- Greet guests and vendors and answer the front door whenever needed
- Receive and process ID badges for site staff and FOB orders for properties
- Maintains record-keeping systems for check, fob, and garage remote logs
- Provide support for photocopying, scanning, faxing, and other general clerical tasks as directed
- Maintain common areas (breakroom and lobby) to keep them tidy
- Organization of supplies and storage areas
- Perform inventory of copy room, kitchen, janitorial, and breakroom supplies; place orders as needed
- Participate in the planning and execution of semiannual company celebrations and quarterly all-staff meetings
- Cover for the South Lake Union front desk as needed
- Support with special projects as assigned
- Proven experience as an office assistant, front desk coordinator, or other clerical/administrative positions
- Intermediate skills with Microsoft Outlook, Calendar, Excel, and Word
- Effective communication skills – verbal and written
- Customer service oriented
- Time management skills: ability to prioritize, organize work, and implement plans efficiently
- Detail-oriented
- Ability to multitask and manage shifting priorities
- Ability to work independently with minimal direction
- Ability to maintain confidentiality
- High School Diploma or equivalent experience
