Position Range: $53,980 - $80,970.
Hiring Range: $60,728 - $74,223.

NATURE OF POSITION
Provide exceptional customer service to members of the public and employees by maintaining front desk operations at BFT’s Administrative building. Serving as a key point of contact for the organization, this position ensures compliance with safety protocols for building access. The Business Support Specialist also supports the Human Resources and Labor Relations department and collaborates with other departments to assist with cross-functional tasks as needed.
- Provide oversight to the Front Desk of the Administration Building.
- Assist the various teams throughout the Agency with administrative tasks, such as data entry, scheduling, and file management.
- Assist the Human Resources team with various administrative tasks and provide overall support to BFT’s Administrative building.
- Maintain front desk protocols, ensuring building safety and access guidelines are adhered to.
- May assist the Safety and Training department with various data entry tasks.
- Answer and route phone calls, emails, and inquiries to the appropriate departments.
- Issue visitor badges and monitor access to ensure security procedures are upheld.
- Provide accurate information regarding BFT services, policies, and programs.
- Handle customer inquiries and complaints in a professional and timely manner, escalating issues as needed.
- Perform clerical duties including but not limited to filing, typing and answering telephones.
- Support Human Resources and Labor Relations in preparing documents, reports, and correspondence.
- Assist in accepting paratransit eligibility applications.
- Work with and maintain confidential information.
- Maintain regular and punctual attendance.
- Other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of human resources processes and best practices.
- Understanding of office procedures and administrative practices.
- Awareness of confidentiality requirements and the importance of handling sensitive information securely.
- Efficient in basic clerical duties such as filing, typing, faxing, recordkeeping, and data entry.
- Compile, analyze, and prepare data for various reporting purposes.
- Deal tactfully with the public; establish cooperative working relationships with those contacted during work.
- Learn new technologies, policies, procedures, and guidelines established by professional organizations and/or governing agencies.
- Utilize office equipment and other relevant technology (software and systems) to meet business needs.
- Understand, follow, and communicate clearly and concisely, both orally and in writing.
- Work as a team member and independently; effectively apply organizational and time management skills; meet deadlines and comply with Agency policies.
- Exercise sound judgment in making decisions.
- Focus on tasks and recall details; handle frequent interruptions.
Associate degree in Business Administration or related field from an accredited institution and two years of administrative support in Human Resources or related experience; or an equivalent combination of education, training, and experience. Must possess a valid driver’s license.

PREFERRED QUALIFICATIONS
Bachelors’ degree in Business Administration from an accredited institution and 2 years of administrative support in Human Resources.
