POSITION SUMMARY: Responsible for organization of client files and physical condition of onsite/offsite storage space/facilities.
REPORTING RELATIONSHIPS: This position reports to the Firm’s Records Manager.
DUTIES and RESPONSIBILITIES:
· Handles and processes client files in accordance with established Firm policies and procedures.
· Researches location of client files; creates additional folders and labels as needed or requested.
· Finds and corrects errors on existing files and makes appropriate changes on physical file in Firm’s Records Management system (FileTrail).
· Retrieves and delivers files and boxes as needed.
· Assists department personnel in locating misplaced files.
· Attends and participates in Records Management opportunities.
· Interacts competently and courteously with department personnel, attorneys, legal administrative assistants and other support staff.
· Ability to efficiently organize storage spaces including moving and assembling shelving units for those spaces
· Other related tasks and duties as assigned by Records Manager.
KNOWLEDGE, SKILLS and ABILITIES REQUIREMENTS:
· High School diploma or GED.
· Prior law firm experience helpful.
· Ability to regularly move boxes weighing up to 50 pounds to and from storage as required.
· Excellent organizational skills and attention to detail.
· Familiarity with Word, Outlook, Excel and iManage.
· Prior experience utilizing a Records Management software such as FileTrail preferred.
· Accuracy in grammar, spelling, punctuation and legible handwriting.
· Effective oral communication skills including the ability to interact effectively with Firm personnel at all levels, using a high degree of professionalism.
· Ability to work independently and to manage multiple priorities.
· Ability to sit, crouch, kneel, stand, walk, push, pull and lift for long periods of time daily.
· Operate computer, telephone, scanner, copier, voicemail and other office equipment.
· Ability to convey detailed information in a clear, concise manner.
· Must demonstrate problem solving skills.
· Previous inventory management experience helpful.
· Must have valid driver’s license, reliable vehicle and good driving record.
· Must pass background check.
· Frequent overnight travel required.
