POSITION DEFINITION
Position Title: District Athletic and Activities Director
Department: Teaching and Learning
Reports To: Executive Director of High School Programs
JOB DEFINITION:
The District Athletic and Activities Director provides administrative leadership, oversight, and direction for all athletic and co-curricular programs across Bend-La Pine Schools. The Director ensures compliance with federal, state, and district regulations, including OSAA guidelines, Title IX requirements, and district equity initiatives. This role requires collaboration with students, staff, parents, and community members to create inclusive programs that promote academic excellence, leadership, and student engagement.
The District Athletic and Activities Director operates with autonomy in alignment with all applicable laws, regulations, and district policies. Independent judgment and decision-making are required in matters not having established rules, regulations, or policies.
ESSENTIAL JOB FUNCTIONS
- Provide administrative oversight and leadership for district-wide athletic and activities programs, ensuring alignment with the district’s mission and equity goals.
- Coordinate scheduling of all athletic contests and ensures timely rescheduling of delayed or canceled events.
- Supervise and evaluate site-based Athletic Directors and Activities Directors in collaboration with building administrators.
- Ensure compliance with OSAA rules, Title IX regulations, and district policies, including health and safety requirements for all athletic teams.
- Collaborate with district leadership to establish and implement a strategic vision for athletic and co-curricular programs.
- Serve as the primary liaison between the district and OSAA, community partners, and other school districts.
- Manage the district athletic budget, including oversight of fundraising activities, purchasing, and inventory control for all athletic equipment.
- Support the Middle School Athletic Director(s)
- Collaborate with the Maintenance Department to support the upkeep and safety of athletic facilities and fields.
- Develop and enforce rules, regulations, and eligibility requirements for athletic participation.
- Provide guidance and support to advisors of student clubs and organizations, ensuring compliance with district policies and state laws.
- Promote community engagement through the organization of district-wide events and partnerships with local organizations.
- Facilitate training and professional development for coaches and advisors, including onboarding for new staff.
- Investigate and address personnel complaints related to athletics and activities programs, ensuring timely and thorough resolution, and support disciplinary actions in alignment with district policies in collaboration with Human Resources.
- Prepare and submit program evaluations and reports to district leadership, including recommendations for improvements.
- Maintain accurate and confidential records, including coach rosters, volunteer approvals, and student eligibility documentation.
- Ensure compliance with all district policies, administrative regulations, and legal requirements related to athletics and activities.
WORKING CONDITIONS
The employee performs under heavy workloads and strict deadlines. The position requires frequent travel to schools, events, and community meetings. Extended hours, including evenings and weekends, are common. The employee must be able to lift equipment and materials weighing up to 30 pounds and maneuver items up to 50 pounds. The role involves both indoor office settings and outdoor athletic environments, often in varying weather conditions.

- Provide leadership and mentorship to coaches, advisors, and site-based athletic directors.

- Manage multiple priorities under pressure and within tight deadlines.
- Communicate effectively with diverse stakeholders in both written and verbal formats.
- Analyze and coordinate complex tasks with minimal supervision.

EDUCATION AND EXPERIENCE
Required:
- Current TSPC Professional Administrator License or ability to acquire such a license by July 1, 2025.
- Minimum of five (5) years of leadership experience in athletics, education, or related fields.
- Demonstrated track record of success in program development, compliance, and equity initiatives.
Preferred:
- Spanish language fluency
- Successful secondary school Principal experience
- Successful High School Athletics or Activities Director experience
- Successful experience as a coach in a K-12 setting
- Large district leadership experience
