Benedict Sales & Service is looking for a motivated, customer service driven Receptionist to join our family-oriented team at our Eau Claire branch office located in Altoona, WI! The Receptionist at Benedict's is a front desk position which serves as the first point of contact for visitors and clients. In addition to managing front desk responsibilities, this role also includes billing tasks such as invoicing, payment processing, and assisting with financial documentation. The position does not have direct reports and performs work with direct supervision. It's an ideal role for individuals who are organized, friendly, customer-service oriented, and comfortable handling both front desk and billing responsibilities!

FLSA Status : Non-Exempt

Schedule : 7 : 30am-4 : 30pm M-F

Essential Functions / Responsibilities

  • Answers, screens, and directs phone calls to the appropriate departments or individuals.
  • Responds to emails and manages incoming communication.
  • Provides information about the company’s services, policies, and general inquiries.
  • Greets clients, visitors, and guests; determines each visit’s purpose and directs visitor appropriately.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items correctly.
  • Generates invoices according to company practices, submits invoices to customers and answers customer billing questions.
  • Prepares, posts, verifies and records customer payments and transactions.
  • Enters and maintains information within ERP software
  • Maintains a clean and organized front desk area and reception space.
  • Performs basic filing, recordkeeping, and office support tasks.
  • Demonstrates professional communication and provides timely and accurate information in all assigned duties.

Marginal Functions / Responsibilities

  • Serves as primary backup for the Billing Coordinator.
  • Supports Accounts Receivable with follow-up on customer account balances as needed.
  • Other duties as assigned by authorized personnel.
  • Requirements :

    Education / Experience / Training Requirement s

  • High school diploma or equivalent required.
  • Associate’s degree or related vocational school training desired.
  • Microsoft office proficiency required.
  • Experience with ERP software desired, SamPro background a plus.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • REASONING ABILITY

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Physical Demands

    Stationary Position : Work is primarily light duty and involves prolonged periods of sitting at a desk.

    Move : Occasionally required to walk between workstations, offices, conference rooms and other facility locations.

    Operate : Constantly operates a computer and other office productivity machinery, such as a phone, calculator, copy machine, and computer printer. Frequently uses repetitive finger motion while typing on a computer.

    Ascend / Descend : Occasionally required to ascend / descend stairs to access all facility levels.

    Positions self : Occasionally required to bend and stoop to perform such duties as maintaining files.

    Communicate : Frequently communicates with internal and external customers using spoken word and the ability to perceive the natural sounds of normal speaking levels. Must be able to exchange accurate information through oral and written communication and make fine discriminations in sound. Must be able to communicate information and ideas so others will understand.

    Observe / Inspect : Able to observe details at close range, distance range, peripherally and with the ability to adjust focus. Frequently utilizes close visual acuity to perform computer duties and analyze data for accuracy.

    Transport : Must be able to occasionally lift and / or move up to 15 pounds.

    Exposed to Not significantly exposed to adverse environmental conditions.
