Health Care Manager Job Description
Reports to: Prioress

Status: Full-time
Pay: $40,000-$50,000 annually, depending upon experience
Hours: 40 hours/week. Ordinarily, will work Monday through Friday, with occasional evening, night or weekend hours.
Job summary:
The Benedictine Sisters of Cullman, Alabama are seeking a skilled and energetic leader to serve as Health Care Manager. The position is responsible for ensuring safe and orderly daily operations of the seven-bed Infirmary where elder Sisters of Sacred Heart Monastery reside. The position also entails coordinating health care for both Infirmary residents and select other Sisters of Sacred Heart Monastery. Schedule flexibility is required, with occasional evening, night, or weekend work when needed. Experience working with senior adults is preferred. Job requirements:
· Graduate of an accredited program in a recognized area of health care (RN, LPN, Physical Therapy, Physical Therapy Assistant, Occupational Therapy, or Occupational Therapy Assistant)
· Current state licensure in recognized area of health care (as above), with no restrictions on practice
· Gerontology experience preferred
· Administrative experience preferred
· Current Alabama driver’s license and current auto insurance at liability minimum required by state law
Job Responsibilities
· Infirmary Staffing and Staff supervision
o Schedule staff to cover each infirmary shift, and arrange for coverage when staffing needs arise.
o Supervise and evaluate employees
o Hire and/or dismiss staff in collaboration with the Human Resources Department (HR) of the Benedictine Sisters of Cullman, AL
o Train new staff
o Manage staff sick, vacation, and holiday time off in collaboration with Human Resources
o Follow all policies and procedures of the Benedictine Sisters of Cullman, AL Employee Handbook
o Ensure current licensure of any licensed staff
o Provide opportunities for staff continuing education
o In collaboration with monastery administrators, conduct annual review of fire safety protocols with Infirmary residents and staff
· Budget and finances
o Establish an annual budget for the Infirmary in collaboration with the Treasurer and Finance Office
o Order or purchase Infirmary supplies and equipment in accordance with budgeted parameters, to include cleaning supplies, kitchenette supplies, specific foods for dietary needs not supplied by the monastery kitchen, medically necessary supplies, OTC medications and supplies, household supplies for Infirmary use as needed, meals for Sunday supper in the Infirmary and for special occasions (birthdays and feast days, etc.)
o Review Infirmary income and expenses on at least a monthly basis to ensure adherence to budget, consulting with the Treasurer or Finance Office as needed
o Reconcile receipts with credit statements and pharmacy statements on at least a monthly basis
o Consult with the Treasurer or Prioress for any significant unbudgeted needs
· Communication - Internal
o Communicate with each Infirmary resident on daily basis, keeping them apprised of any information that pertains to them, hearing from them any questions or concerns they may have, and checking on their general status
o Communicate directly with the Infirmarian and Prioress (or other monastery leaders in her absence) in the event of
§ any significant or unexpected change in health status of a Sister
§ any emergent unforeseen needs in the Infirmary (i.e. a staff call-out that cannot be filled)
o Communicate to the Prioress and Infirmarian any relevant health updates from Sisters’ medical appointments
o Communicate with Sisters and monastery staff regarding annual flu shots or other vaccine updates
· Communication – External
o Maintain regular communication with Borden Family Pharmacy (or other pharmacy) regarding Sister’s medications
o Coordinate with Borden Family Pharmacy regarding vaccinations for Sisters (and flu vaccines for employees if they wish)
o Communicate regularly and as needed with the staff of home care agencies who see Sisters in the Infirmary (Hospice, Home Health, Physical Therapy, etc.)
· Oversee the healthcare and daily services provided for Sisters residing in the Infirmary, as detailed
o Make daily health check on each Sister in the Infirmary
o Manage medications (see below)
o Ensure vital signs and other needed checks are completed and recorded according to established schedules
o Establish and maintain bathing and laundry schedules for Infirmary residents
o Collaborate with monastery kitchen to ensure appropriate and timely meal service for Infirmary residents
o Implement any needed infection control protocols
o Provide regular ability-appropriate opportunities for recreation, exercise, movement and cognitive stimulation for each Infirmary resident and selected other senior Sisters
· Serve as Healthcare advocate and a key contact for Sisters in rehab or other nursing facilities
· For hospitalized Sisters, coordinate with Prioress, Infirmarian, and/or monastery administrators to ensure the Sister’s needs are met while in the hospital and that timely information is conveyed between the hospital physicians, monastery administrators, and Infirmary
· Medical Appointments
o Schedule medical appointments for Infirmary Sisters and other Sisters needing assistance
o Schedule non-medical appointments such as toenail clipping and haircuts for Infirmary Sisters and some retired Sisters
o Attend most medical appointments with Infirmary residents and selected other senior Sisters -
§ provide their transportation, typically using a monastery vehicle
§ serve as their advocate with the health care provider
§ provide a written summary for their file, and at times for the Prioress and Infirmarian
o Arrange transportation for appointments that do not need a health care advocate present
· Medical records
o Maintain a medical file for each Sister
o Maintain vital sign records for Infirmary residents and select other Sisters
o Document changes in health status, new diagnoses, medication changes, test results, etc.
o Facilitate the annual update of medical information for each Sister in case of an emergency (current medications, medical conditions, doctors, and insurance or Medicare/Medicaid information)
· Medication Management
o Order refills of prescriptions for Infirmary residents and selected other Sisters
o Contact physician offices when additional refills are needed
o Verify the safe and secure storage of all medications
o Update medication lists for Infirmary residents and select other Sisters when medications are changed
o Ensure the accurate distribution of medications into weekly planners
o Arrange for the administration of any injectable medications
· Infirmary environment
o Oversee and ensure the orderliness, safety, and cleanliness of all spaces within the Infirmary
o Maintain cleaning schedule for staff to ensure all rooms and areas are cleaned on a regular basis
o Coordinate with Infirmary residents and staff to decorate seasonally
o Submit maintenance requests as needed and ensure follow through
· Pastoral and emotional care
o Pastoral and emotional care is primarily the responsibility of the Prioress, and/or monastery administrators, and/or Infirmarian, however the Health Care Manager is a key partner in meeting any pastoral or emotional needs of Infirmary residents. The Health Care Manager will assist in these ways:
§ Provide a peaceful, orderly environment that fosters a sense of security, safety, and peacefulness for all Infirmary residents
§ Notify monastery administrators of any pastoral or emotional concerns or needs
§ Collaborate as requested by the Prioress, Infirmarian, and/or monastery administrators to ensure needs are met
· Other
o The Infirmary and Health Care Manager may be called upon by the Prioress or other monastery administrators to assist with other needed tasks within the monastery.
The Health Care Manager is expected to follow all policies, procedures, and expectations as established by the Benedictine Sisters of Cullman and indicated in the Employee Handbook.
