Job Purpose

The primary role of the Billing Specialist is to prepare accurate project invoices on a timely basis.

Duties and Responsibilities

• Develop a thorough understanding of company procedures and relevant software, including Vista by Viewpoint (Vista).
•  Manage all aspects of the billing function, including but not limited to:
  • Prepare invoices, including both contract and time and material (T&M) projects.
  • Process, copy/scan, distribute, and be responsible for the proper submission of all invoices.
  • Reconcile contract values (including change orders) versus billed-to-date amounts on projects.
  • Assist the project team in the reconciliation of guaranteed maximum projects.
  • Post invoices to the accounting system (Vista).
  • Collaborate with the project team to ensure accurate billings and related documentation.
  • Assist with billing inquiries.
• Manage lien waivers and related documentation for subcontractors and suppliers.
• Assist the Controller with preparation of special reports or studies as requested by customers or management.
• Prepare the monthly builder’s risk report.
• Provide support for monthly journal entries as requested by the Controller.
• Notarize documents as needed.
• Prepare monthly shop material and equipment charges to projects for Project Manager review.
• Assist with the year-end inventory reconciliation.
• Serve as the primary back-up of accounts payable when needed.
• Answer and direct incoming calls and screen phone calls/solicitors, serving as primary backup for phones.
• Maintain good relations with customers by responding to inquiries. In some instances, the Billing Specialist will need to cordially manage difficult or emotional customer situations.
• Perform additional responsibilities per leadership direction.
• Conduct business in an ethical and professional manner, keeping interests of the Benike team above individual interests. Contribute to our culture of experience and knowledge sharing.

Education and Qualification Requirements

·         A degree in accounting or finance is preferred.

·         A minimum of two years practical experience in a similar position preferred.

·         Familiarity with varied construction specific software platforms, such as Vista by Viewpoint, Kahua, Textura, etc., is preferred. Ability to use or willingness to learn industry specific software.

·         Ability to effectively use Microsoft Office (Outlook, Word, Excel).

·         Strong interpersonal communication skills including ability to effectively manage stressful situations.

·         Ability to effectively draft reports and business correspondence, present information, and respond to questions from cross discipline team members.

·         Notary public is preferred or be able to obtain.

Certificates, Licenses and Registration Requirements

·         Valid state driver’s license with insurable driving record.
