Applicants for the CLINICAL OFFICE MANAGER absolutely MUST have these three (4) qualifications:
1. Speak Spanish and English
2. Must have medical assistant experience and be comfortable around patients.
3. Must be able (or willing to learn) medical billing/coding in order to sumit insurance claims, MUST be able to verify insurance benefits co-pay(s), deductibles, IN-Network vs Out of Network benefits.
4. Must have OR be willing to learn and use all social media/Advertising media and have a desire to advertise and promote the practice.
Applicants must have a strong work ethic and be able to use a computer, email, copy/fax, digital camera.
Full on the job training in a low stress, comfortable environment with plenty of support team members.

As a clinical staff and/or office managers, one understands and realizes that it is his/her responsibility and FUNDAMENTAL DUTY to ensure that all aspects of the office run and operate efficiently and smoothly. If they do not, this reflects poorly not just on the clinic staff and office manager, but also poorly upon the physician and the medical and surgical practice.
The Office Managers and assistants should be comfortable taking charge and taking the initiative to solve problems (preferably before they are recognized as problems) through communication with likeable and difficult persons, task management assignment to juniors while thinking and planning ahead.
· The Office Managers and assistant office managers are the organizers, communicators and are always working behind the scenes of the office to make the office and medical practice work better, more efficient, more profitable and more enjoyable for all, especially patients.
· Collection and billing are fundamental to the medical and surgical practice and to be considered at all times.
· The Office Manager and assistant office managers will discuss with appropriate patients submission of online 5-star reviews to Healthgrades/Google/Yelp and other agencies to increase web and social media presence.
· Staff must understand and comply with federal HIPPA laws, Medicare/Medicaid guidelines and rules.
· Management of ON CALL Schedules at multiple Hospitals including submission of timesheets when required as well as timely and accurate Text or Phone calls relaying the appropriate location, patient name, DOB/MR#, physician call back number.
· Advertising and marketing Botox/Juvederm aesthetic products and services to build a patient, referral and clientele base.
· Greet and assist patents entering office in a professional and courteous manner and are responsible for checking patents in and out of office including processing payments
· Obtaining high quality pre-op and post op photographs suitable for print media and web publication.
· Clean rooms in-between patients, and set-up for in office procedures
· Social media and website updates and management, advertisement, updates and marketing presentations, ads, notices, emails and offers etc so as to generate positive publicity and thus build a patient and client base for the practice and business.
· Gather patent information and input into office electronic medical records system Kareo.
· Responsible for all incoming calls. As well as missed calls, voice messages, emails, faxes and verbal communication from others.
· Provide callers with appropriate information, for both cosmetic and Hand patients.
· Responsible for all office incoming and out-going fax/scan/email information as well as proper distribution of documents.
· Responsible for all patient office and surgery scheduling: including appointments for all patients this includes re-scheduling when needed
· Print out doctor's morning schedule prior to his arrival, and /or keep it organized and available within the online EMR
· Prepare patient/treatment rooms for the day (includes stocking supply’s) as well as preparing/ensuring unexpired, appropriate amounts of botox/dysport or fillers for physician.
· Call and re-confirm the clinic and operative patients that are scheduled for office visits no later than 24-48 hours in advance and keeping the appointment calendar in the EMR/Kareo updated at all times.
· Verify Insurance benefits as well as deductible information and communicate this with the patients.
· Handle hospital consults and request for orders and forward to physician.

· Keep inventory or supplies, discuss need to reorder, reorder and stock office supplies and medical supplies: Including but not limited to breast implants, injectables compression garments, special tools, etc, as well as paper goods, treatment room supplies, water, hospitality items.
· Maintain an active list of on call hospitals
· Organize and update on call schedule as they become available
· Find coverage for physician if he is unable to take call.
· Credential physician when necessary with corresponding hospitals
· Verifying paychecks from Hospitals match with physician work schedule
· Professional, thoughtful, respectful and thorough performance and practice of these duties and other duties not listed above which are self explanatory and intuitive to any medical assistant, medical office personnel, dental assistant, office manager, physician assistant, physician or other. It is these which are necessary to operate and run a successful medical office/business and practice so as to treat patients requesting and needing quality compassionate care.
