Our growing law firm is seeking a detail-oriented and organized Disability Appeals Assistant to support our Disability Appeals Case Manager in handling disability appeals. This role involves coordinating with clients, medical providers, and insurance companies to ensure timely and accurate submission of appeals. The ideal candidate will have strong communication skills, the ability to manage multiple deadlines, and a keen attention to detail. Above all, we are looking for an attentive, eager, compassionate person who is ready to be a key component in a growing law firm. Our office is located in Fairfax, Virginia and the position is full time in person. Our entire local office comes in every day and if you’ve been stuck working from home and miss seeing friendly faces, this is the job for you! Our office hours are 9:00 AM to 5:00 PM, Monday through Friday.

Requirements:Job Duties
- Maintain and organize client records and case files.
- Request claim files from insurance companies and plan documents from employers for disability and life insurance appeals.
- Coordinate with clients to obtain medical records and supporting documents from treating physicians.
- Conduct personal statement interviews with clients and assist in finalizing edits for appeal submissions.
- Prepare and submit appeal documents via fax and certified mail.
- Track outstanding plan document requests and send follow-up notices if documents are not received within 30 days.
- Contact insurance companies to confirm receipt of claim files and send follow-up requests as needed.
- Scan, download, and process claim files using OCR software for attorney review.
- Gather physician support documents, including letters and Attending Physician Statements (APS).
- Oversee the Records Collection Clerk to ensure all necessary evidence is obtained for timely appeal submissions.
- Disburse client payments and maintain accurate financial records.
- Provide additional administrative and legal support to attorneys as needed.
Knowledge & Basic Qualifications
- You have professional verbal and written communication skills for interacting with clients, doctors, and insurance companies. Communication is really important. And it's not just the phones. You need to be a person who speaks up when something is wrong. The attorneys rely on you to be the eyes and ears of the law firm.
- You are organized and pay attention to details. You're the person who keeps lists and makes sure everything is moving along smoothly.
- You are Internet and technology literate, and you would be comfortable learning new systems.
- You are kind. People who call our office are often having some of the worst days of their lives. We make things better for them, not worse.
Bonus Qualifications (not required, but they will put you at the top of the pile):
- Previous experience working in a law firm or in a related administrative role.
- Customer service experience – you know how to make people feel glad you are on their side!
