Overview:
The Safety Administrative Coordinator provides high-level administrative and operational support to the BFC VP of Safety and BFC Director of Safety, collaborates with business unit safety directors, and ensures the seamless execution of safety-related initiatives. This role involves managing sensitive information, coordinating interdepartmental projects, and supporting a diverse internal customer base, including employees, agents, owner-operators, and drivers.
Duties:
Administrative Support - Serve as the primary administrative assistant to the BFC VP and Director of Safety. - Prepare routine and advanced correspondence, reports, and confidential materials. - Manage executive calendars, travel arrangements, and expense reports. - Maintain accurate records of meeting minutes and documentation. - Provide research and analysis support as directed. - Assist in the preparation for and other activities around executive level meetings and activities.
Department Operations - Oversee department supplies and coordinate office maintenance. - Process and manage all safety-related invoices. - Maintain safety-related platforms (e.g., Samba, Motive, Drivewyze) to ensure accuracy and compliance. - Coordinate various BFC level safety initiatives as directed. - Work closely with other Bennett support departments to execute safety initiatives. - Assist with interdepartmental safety needs and projects as required.
Event and Program Coordination - Organize and execute department responsibilities pertaining to special events such as driver appreciation programs, symposiums, and summits. - Coordinate and support employee recognition programs within the safety department. - Collaborate with business unit safety directors concerning safety meetings and other safety related events requiring administrative support.
Compliance and Data Management - Review and challenge unwarranted roadside violations and DOT recordable accidents through FMCSA's DataQ and Crash Preventability Determination Program. - Assist in monitoring compliance metrics and generating necessary reports.
Requirements:
- Administrative with experience in safety, legal, or transportation preferred.
- Proficiency in managing sensitive and confidential information.
- Proficiency in preparing executive level materials in support of various responsibilities.
- Ability to work collaboratively with diverse internal stakeholders.
