About the Role
We are seeking a detail-oriented and highly organized Accounts Payable/Accounts Receivable (AP/AR) Specialist to join our finance team in LA (2x days a week in our Culver City office). The ideal candidate will be responsible for managing the full-cycle accounts payable and receivable functions, ensuring accuracy, efficiency, and compliance with company policies and procedures.
This opportunity would suit someone who is analytical, driven and has experience within the video marketing sphere (on and off YouTube/ TikTok etc).
Responsibilities:
Accounts Receivable (AR) –
- Generate and distribute invoices for media and advertising sales, ensuring compliance with insertion orders and contractual agreements.
- Monitor accounts receivable aging and follow up with agencies and clients on outstanding payments.
- Reconcile media placements, billing discrepancies, and ensure accurate revenue recognition.
- Process payments, including ACH, wire transfers, and checks, and apply them accurately to client accounts.
- Collaborate with sales and account management teams to resolve client billing inquiries and disputes.
- Prepare AR reports, track payment trends, and escalate collection issues when necessary.
- Assist with month-end revenue reconciliation and ensure accurate financial reporting.
- Generate and issue invoices for talent management services, including endorsements, appearances, and contract-based engagements.
- Track and manage payment schedules in accordance with talent contracts and agency agreements.
- Assist in preparing financial reports related to talent revenue streams.
Accounts Payable (AP) -
- Process invoices, match purchase orders, and verify approvals.
- Ensure timely and accurate payment of vendor invoices.
- Reconcile vendor statements and resolve discrepancies.
- Maintain vendor records and assist with 1099 reporting.
- Process expense reports and ensure compliance with company policies.
- Assist in month-end closing by reconciling AP sub-ledger to the general ledger.
Key Requirements
- 3 years of experience in accounts payable and/or accounts receivable roles.
- Direct experience with IOs and working in the media, advertising, or marketing industry.
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Strong understanding of accounting principles and financial regulations.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite) and MS Excel.
- Excellent attention to detail and organizational skills, including the ability to multitask and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills for interacting with vendors and customers.
