Our Automotive Billing and Title Clerk is responsible for managing and processing vehicle sales paperwork, ensuring all required documentation for vehicle titles, and handling billing and payment processes for vehicle sales and service transactions. This role requires a keen attention to detail, organization, and a strong understanding of automotive industry practices.
Key Responsibilities:
Billing and Invoicing:
- Generate accurate invoices for vehicle sales and service work performed.
- Verify pricing, discounts, and taxes to ensure billing is correct.
- Process payments, and follow up on any outstanding invoices or discrepancies.
Title Processing:
- Prepare and file all necessary documentation for vehicle titles, including title applications, registrations, and lien releases.
- Work with DMV or other licensing agencies to ensure compliance with state regulations.
- Process vehicle title transfers and coordinate with finance and sales departments to ensure accurate paperwork.
Documentation Management:
- Maintain accurate records for all vehicle transactions, including sales, titles, registrations, and lien information.
- Ensure all documentation is completed in a timely and efficient manner.
Communication:
- Liaise with customers, sales teams, and financial institutions to ensure proper documentation and payment collection.
- Assist customers with questions related to their vehicle title or billing information.
Compliance:
- Ensure all billing, title, and registration activities comply with state, federal, and local regulations.
- Stay updated on changes in automotive laws and title regulations.
- Administrative Support:
- Assist with other administrative duties as needed, including filing, record keeping, and supporting other departments.
Qualifications:
- High school diploma or equivalent (Associate's degree in Business or related field preferred).
- Proven experience in an automotive office, billing, or title clerk role (preferred).
- Strong knowledge of vehicle titles, registrations, and billing procedures.
- Proficiency in office software (Microsoft Office Suite) and dealership management systems (DMS).
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive customer information.
Working Conditions:
- Standard office hours.
- Work may be conducted in a dealership or automotive service center setting.
