Job Summary:
The Dealer Administrator plays a vital role in supporting the daily operations of the dealership. This position is responsible for maintaining accurate records, providing exceptional customer service, and ensuring compliance with dealership policies and industry regulations. The ideal candidate will be detail-oriented, organized, and possess strong communication skills.
Key Responsibilities:
- Record Management:
- Maintain accurate records updating PO Logs and whole goods in our computer system.
- Assists various departments to promote customer service.
- Prepare repair orders by describing symptoms, checking vehicle maintenance records, and examining service schedules.
- Customer Service:
- Greet customers and assist with inquiries, providing information about products and services.
- Assists in addressing and resolve customer issues and complaints in a timely manner.
- Compliance and Reporting:
- Ensure compliance with dealership policies, state regulations, and industry standards.
- Prepare and submit necessary reports, including financial statements and inventory audits.
- Communication and Coordination:
- Act as a liaison between departments (sales, finance, service) to ensure effective communication and collaboration.
- Work closely with service team to provide estimates to our customers as well as providing periodic updates to the status of their vehicles.
- Coordinate with vendors and external partners as needed.
- Financial Administration:
- Assist in processing billing, invoicing, and managing accounts receivable/payable.
- Support the finance team in preparing documentation for financing and lease agreements.
- Sales Support:
- Provide administrative support to the sales team, including preparing documents, processing deals, and tracking leads.
- Assist in organizing promotional events and sales campaigns.
Qualifications:
- High school diploma or equivalent.
- Previous experience in a dealership or administrative role is a plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and dealership management software.
- Ability to multitask and work in a fast-paced environment.
