The Position

GENERAL SUMMARY : Provide customer service and support under the direction of the Contracts & Billing Manager.

ESSENTIAL JOB FUNCTIONS :

Billing Office :

  • Receive and receipt large batch payments for Medicare, Medicaid and third-party insurances. Calculate adjustments and make appropriate distribution of payments.
  • Post and reconcile all types of individual and 3rd party payer payments received in the mail daily. Including electronic credit cards and VitalChek payment processing. Calculate adjustments as needed.
  • Prepare daily bank deposits.
  • Data entry of charges, including price over-rides when applicable according to Heath District policy.
  • Electronic billing of Medicare, Medicaid and third-party insurance claims.
  • Work denied claims, research coding issues and questions and resubmit claims when appropriate.
  • Work credit balance reports, Aging of Accounts Reports and collection reports to determine necessary actions to resolve outstanding balances. Create letters, memos, and various correspondences as needed using a word processor.
  • Other duties as assigned.

Vital Records Office :

  • Responsible for issuing certified copies of birth & death certificates.
  • Post charges and payments.
  • Supply funeral homes with forms, handbooks, instructions and assistance as needed concerning policies and procedures for Washington State. Provide assistance as needed for shipping human remains out of country.
  • Provide education to clients regarding delayed birth certificates, obtaining birth or death certificates from other states, certificates for foreign-born citizens, correcting error on birth and death certificates, paternity affidavits, and how to obtain a legal last name change.
  • Refer death certificate cases clearly defined in the RCW's to coroner when have not been previously reported.
  • Validate burial transit permits for Benton and Franklin County deaths for funeral homes that are out of the local area.
  • Transmit all original hard copy death certificates and prepare corresponding reports monthly.
  • Prepare and disseminate vital records reports to local area Police departments and, Department of Licensing.
  • Ensure that Notices or Removals are filed by funeral homes in a timely manner for out-of-county deaths.
  • Coordinate disposition of remains with authorities, ensuring proper procedures are followed for families wishing to transfer remains without assistance of a funeral home.
  • Prepare invoices upon request. Prepare daily bank deposits.
  • Other duties as assigned.
  • KNOWLEDGE, SKILLS AND ABILITIES :

  • Knowledge in general office practices, including cash handling and ability to reconcile data.
  • Knowledge of medical insurance billing practices and procedures including requirements of third-party insurances, Medicare, and Medicaid related to Public Health preferred.
  • Knowledge of diagnosis and procedure coding principles preferred.
  • Knowledge of accounting principles and practices preferred.
  • Ability to learn and utilize specialized software programs accurately and effectively.
  • Knowledge of computers and various software programs such as Microsoft Word and Excel preferred.
  • Ability to use a 10-key calculator and type a minimum of 40 wpm required.
  • Ability to communicate effectively verbally and in writing to a diverse staff and clientele.
  • Ability to work with details and analyze data for correctness with a high degree of accuracy, prioritizing workload to meet customer needs and agency requirements.
  • The Requirements & Selection Process

    MINIMUM QUALIFICATIONS : A high school diploma or GED. Prefer a two-years in accounting or business. Three years previous medical billing experience preferred.

    Additional Requirements : Performance of job duties requires driving on a regular basis, a valid Washington State driver's license, the use of the incumbent's personal motor vehicle when a District fleet vehicle is not available for use, and proof of appropriate auto insurance.
