Transaction Coordinator

Position Overview:
The transaction coordinator Specialist will be responsible for managing the end-to-end application process within our submission system. This role involves data entry, tracking applications from submission to placement, and ensuring accuracy and efficiency throughout the process. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work independently.
Responsibilities:
- Data Entry: Accurately enter application data into our submission system, ensuring all required fields are completed.
- Application Tracking: Monitor the progress of applications from data entry to the placement of the product, ensuring timely and accurate processing. Such as:
- Account Management: Paperwork generation, submission, and follow-up; ongoing client service including cashiering and account maintenance.
- Reporting and Planning: CIR Statements, financial planning data entry in CLIC® Advisor, WealthPort®.
- System Management: Utilize our submission system to manage client information, generate paperwork, and track application status.
- Quality Assurance: Review applications for completeness and accuracy, identifying and resolving any discrepancies during the application process, including communicating with the broker-dealer, Cambridge Investment Research.
- Reporting: Generate and maintain reports on application status, processing times, and other relevant metrics.
- Compliance: Ensure all applications comply with regulatory requirements and company policies.
- Communication: Liaise with internal teams and external stakeholders, including clients, representatives of insurance companies, annuity companies, and investment companies, to ensure smooth application processing and address any issues that arise. Such as:
- Client Communications: Phone answering, outbound calling, mailings.
- Client Management: CRM management, scheduling, reminders, utilizing CLIC Advisor/CLIC Client.
Qualifications:
- Education: College degree or equivalent requested but not required”; additional education or certifications in finance or related fields is a plus.
- Experience: Previous experience in data entry, application processing, or a similar role within the financial services industry.
- Technical Skills: Proficiency in using our submission system or similar financial software; familiarity with Emoney or other planning tools; experience with CRMs such as Wealthbox or Redtail; strong computer skills, including MS Office Suite.
- Attention to Detail: High level of accuracy and attention to detail in data entry and application processing.
- Organizational Skills: Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders, including clients and representatives of various financial institutions.
- Problem-Solving: Ability to identify and resolve issues promptly and efficiently, including communicating with the broker-dealer, Cambridge Investment Research.
