Summary:
We are seeking an enthusiastic and motivated individual to join our dynamic Assistants team as a Sales & Trading assistant. This role requires strong interpersonal and administrative skills to support a team, with heavy interaction with clients, ensuring first-class service is provided to all external visitors and staff. This is a position for a friendly, organized, detail-oriented; individual who is able to work in a team environment and without supervision
Day to day responsibilities will primarily involve supporting the Trading team, working with team assistants, and ensuring the office is presentable at all times. There will be a number of ad-hoc responsibilities which may include but are not limited to; project work, new process initiatives, assistance/coordination for in-house events and conferences.
Responsibilities:
- Manage a busy schedule with several meetings per day, internal and external, and prioritizing client meetings and roadshows
- Provide administrative support to the Trading team handling a broad range of operational activities such as:
- phone management, relaying client messages accurately
- team calendar management
- preparing itineraries
- coordinating conference call lines and zoom meetings;
- coordinating catering
- any other ad hoc tasks that may arise
- Extensive planning and logistic coordination, including booking domestic and international flights, hotels, other transportation, client meetings, lunches, dinners with up-to-date itineraries
- Expense management: receive, review, and submit for reimbursement on behalf of the Trading team creating monthly reports to track expenses
- Manage and maintain a comprehensive and accurate documents and records, ensuring data privacy and confidentiality
- Checking clients in for meetings including adding visitors to security and greeting guests
- Covering Reception as needed, maintaining readiness and organization of the common areas, including setting up and clearing meeting rooms
- Work in partnership with other departmental assistants, providing back up support and coverage for roadshows and client meetings
- Coordinate with other assistants and teams on any overlapping schedules (travel, conferences, roadshows, etc.) and provide support as needed
- Organizing and logging client meetings via purpose-built database/roadshow CMP system
- Print, bind and ship or deliver presentations/materials for corporate roadshows local and domestic
Qualifications:
- Administrative experience for senior business leaders managing schedules, travel coordination, administration and other related topics, financial industry experience is a plus
- Highly organized with strong written and verbal communication and time management skills
- Proficient with MS Office suite; including Outlook, Outlook calendars, Excel and Word
- Previous experience working with Concur is a plus
- Demonstrated ability to perform under pressure in a fast-paced environment with high attention to detail.
- Positive attitude, willingness to learn new skills, with integrity and ownership of work
- Bachelor’s Degree Required
- Relates well to people at all levels, interacting with external clients and internal staff members with high levels of professionalism delivering high quality administrative support
- Flexibility in outlook; willing to tackle new challenges with enthusiasm
- Must be self-sufficient and willing to work independently as you will be required to take initiative on individually appointed tasks but also to work as a team on projects

Salary will vary based on role, education, level of experience, and expertise ranging between $80,000 to $95,000 dollars as a base salary with eligibility for a discretionary annual bonus plus comprehensive benefits package.
