Position Overview: The Operations Assistant plays a crucial role in supporting the smooth functioning of BVMI. This position is responsible for overseeing various administrative and operational tasks to ensure efficiency and effectiveness across different departments.
Key Responsibilities:
Administrative
- Manage donation processing: Receive, document, and deposit donations, ensuring adherence to financial procedures and maintaining detailed records.
- Inventory management: Monitor inventory levels for clinical supplies and office supplies, research vendors, place orders, and coordinate with staff to optimize stock levels.
- Procurement: Source and procure necessary supplies and equipment, ensuring cost-effectiveness and timely delivery.
- General office duties: Handle general office tasks such as mail, filing, and running errands.
- Compliance: Maintain compliance with OSHA regulations by updating and managing the OSHA binder.
Clinical
- Clinical form management: Create, update, and maintain clinical forms, including converting medical history forms to PDF format.
- Telehealth support: Provide backup support for troubleshooting telehealth programs.
- Scheduling and coordination: Coordinate volunteer schedules, practitioner shifts, and resource allocation to optimize clinic operations.
Development
- Event logistics: Manage logistics for fundraising events, including venue booking, vendor coordination, and on-site management.
- Donor and sponsor relations: Assist in managing donor and sponsor communications, including invitations, RSVPs, and follow-up.
- Volunteer management: Recruit, train, and manage event volunteers.
- Marketing and communications: Collaborate with the marketing team to develop event-related materials and social media content.
- Budget management: Assist in managing event budgets and tracking expenses.
Qualifications:
- High school diploma or equivalent; Bachelor's degree preferred.
- Minimum of 2 years of office experience.
- Experience in scheduling, financial management, or procurement.
- Strong organizational and time management skills.
- Attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (or Google Workspace) and EMR systems (Athena preferred).
- Valid driver's license and reliable vehicle.
