Job Summary: The Rental Services and Accounts Coordinator is responsible for managing a fleet of rental vehicles, overseeing accounts payable, handling the daily closing of the cash box, and ensuring proper filing and record-keeping. This role requires strong organizational skills, attention to detail, and the ability to balance both operational and financial responsibilities within a fast-paced rental environment.
Key Responsibilities:
- Fleet Management:
- Oversee and manage the fleet of rental vehicles to ensure they are well-maintained, clean, and ready for rental.
- Schedule regular maintenance, repairs, and inspections for all vehicles to ensure compliance with safety and operational standards.
- Track the availability, location, and status of all rental vehicles, ensuring efficient utilization and minimizing downtime.
- Coordinate with the rental team to allocate vehicles based on customer demand and bookings.
- Accounts Payable:
- Process and verify vendor invoices, ensuring accuracy and timely payments.
- Maintain records of all financial transactions and assist in preparing financial reports as required.
- Reconcile accounts payable and manage outstanding bills to avoid delays or errors in payments.
- Communicate with vendors and suppliers regarding billing inquiries and discrepancies.
- Cash Box Management:
- Close the cash box daily by reconciling cash, credit card payments, and other transactions.
- Ensure proper documentation and record-keeping of cash flow, including deposits, withdrawals, and change.
- Report any discrepancies or issues in daily cash flow to the finance team or manager.
- Maintain a secure and accurate cash handling system in accordance with company policies.
- Filing and Documentation:
- Organize and maintain physical and digital files related to rental agreements, accounts payable, vehicle maintenance, and financial records.
- Ensure all rental contracts, customer documentation, and invoices are properly filed for easy retrieval.
- Assist with periodic audits to ensure all documents are compliant with internal policies and regulations.
- Implement an efficient filing system to improve accessibility and accuracy of company records.
- Customer Service & Support:
- Provide exceptional customer service by addressing rental inquiries and assisting with reservations and billing concerns.
- Coordinate with customers regarding vehicle availability, returns, and any other rental-related needs.
- Ensure customers have all necessary documentation and information before renting a vehicle.
Certificates, Licenses, Registrations:
- Valid Driver's License
- Successful completion of pre-employment background checks and drug screening
