ESSENTIAL DUTIES & RESPONSIBILITIES

- General administrative duties.
- Maintaining confidential personnel records
- Creating presentations, briefing charts, technical and nontechnical documents
- Filing and organizing paperwork and financial documents
- Tracking weekly, bi-weekly and semi-monthly timesheets
- Data entry
- Tracking invoices and due dates
- Keeping staff calendars up to date
- Setting up meetings
- Distributing corporate emails to staff
- Supporting and tracking onboarding documents of new staff to sites
- Tracking Security clearances
- Assisting in the preparation of expense reports
- Collection of p-card receipts and auditing for submittal
- Setting up travel authorizations and travel for staff. Figuring per diems and preparing for submittal to government
- Setting up interviews
- Assisting and tracking option year renewals
- Preparation of Employee Action Forms
- Tracking yearly open enrollment
- Setting up program files for new awards
- Tracking employee leave
- Posting new positions
- Comparing position description for new candidates to resumes
- Other duties as assigned
QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum) Qualifications
- Six plus years of experience in Office Management.
- Administrative background
- Government experience preferred
- Finance / Accounting experience
- Contract management
Knowledge, Skills, Abilities, and Other Characteristics
- Ability to communicate clearly, both orally and in writing.
- Organizational skills
- Proficient in various Microsoft Office Suite products.
- Work well with all levels of internal management, staff, outside clients and vendors.
- Sensitivity to confidential matters

WORK ENVIRONMENT

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.
SUPERVISORY RESPONSIBILITIES
- No supervisory responsibilities.
ADDITIONAL QUALIFYING FACTORS
As a condition of employment, may be required to pass a pre-employment drug screening, as well as have acceptable reference and background check results to obtain access to military base. Must have reliable transportation to/from work a necessity and must be able to obtain access to military installations.
