The Import Cargo Assistant is responsible for managing and tracking containers in the import logistics process, ensuring timely deliveries, and coordinating with various stakeholders to avoid detention charges and delays. This role also involves processing invoices, verifying purchase orders, and managing ocean freight data. The ideal candidate will have strong attention to detail, excellent communication skills, and a solid understanding of import logistics and container management.

This role also involves processing invoices, verifying purchase orders, and managing ocean freight data. The ideal candidate will have strong attention to detail, excellent communication skills, and a solid understanding of import logistics and container management.
Key Responsibilities
1. Container Status Updates:
- Monitor vessel tracking portals for each location and update container statuses for containers that have reached the port or rail.
- Push out delivery dates for containers that have not yet reached the warehouse.
- Update Cleveland's status and notify the Drayage company of the correct drop-off location for unloading.
- Track container dates to ensure timely deliveries and prevent exceeding Last Free Days (LFD).
- Coordinate with the Jackson, MS team and Drayage company to ensure containers are delivered and unloaded within the LFD, avoiding detention charges.
2. Invoice Processing:
- Print all assessorial invoices from Drayage companies, applying appropriate General Ledger (GL) codes and matching amounts.
- Audit invoices to compare with container activity to ensure charges (e.g., Bobtail, Detention) are accurate.
- Scan invoices into the import drive and send them to Accounts Payable (AP) for payment.
3. Verification and Approval of Purchase Orders (POs):
- Verify quantities and shipping information on the vessel match the POs received from purchasing.
- Approve vessels for tracking and begin updating the status.
- File POs until they arrive at the port and can be processed along with ocean freight, tariffs, and duties.
4. Ocean Freight Invoice Processing:
- Print Ocean Freight (OF) invoices from freight forwarders and apply the appropriate GL codes and amounts.
- Input relevant charges and Harmonized System (HS) tariffs to the vessel in the P21 system.
- Approve VR# (Vessel Receiving) and generate the Vessel Receiving Report for warehouse receipt and counting of the container.

Competencies or Experience Requirements
- Minimum of 1-2 years of experience in cargo import, logistics, or a related role.
- Excellent Microsoft Office Suite skills
- High degree of accuracy and attention to detail
- Ability to meet tight deadlines
- Fundamental Procurement capabilities as evidenced by certification (APICS, SPSM) highly preferred but not required
- Knowledge of Supply chain concepts and Purchasing procedures
- Strong written and verbal communication skills, with the ability to collaborate effectively with internal teams and external vendors.
- Proficiency with P21 or similar systems is preferred.
- Strong knowledge of container tracking, drayage processes, and import logistics.
- Familiarity with basic accounting principles and GL codes.

- Ability to operate a computer and other productive office equipment
- Ability to lift, squat, stand, kneel, and bend without assistance
- Must be able to communicate professionally and effectively
Education Requirements
High school diploma or equivalent required; Associate degree or higher in Business, Logistics, or a related field preferred.
