Overview
Our client is a plastic circularity startup at the intersection of chemistry, material science, and engineering. The company operates an office and laboratory dedicated to driving sustainable circular solutions. We’re seeking a seasoned and highly competent Office / Lab Manager to join this dynamic team to ensure efficiency, compliance, and smooth day-to-day functioning.
Key Responsibilities :
Office and Facility Management
- Oversee all aspects of office facilities, ensuring functionality, organization, and safety. Support lab facility needs when required.
- Manage relationships with external vendors and service providers, including contracts, maintenance, and repairs.
- Develop and implement office and lab protocols to streamline workflows and maintain compliance with EH&S and other regulatory requirements.
Administrative and Financial Oversight
Collaborate with the finance team to prepare, monitor, and manage budgets for office and lab operations.Negotiate contracts for office supplies, equipment, and other services to optimize cost-effectiveness.Oversee procurement, inventory management, and stock control for both office and lab consumables.Employee and HR Support
Serve as the main point of contact for employees regarding office resources, policies, and procedures.Support HR with onboarding / offboarding processes, workspace assignments, and equipment provisioning.Maintain accurate records of staff access to facilities and equipment distribution.Operations and IT Coordination
Ensure reliable IT infrastructure by coordinating with external IT providers for system maintenance and support.Maintain accurate documentation of software licenses, IT equipment, and data storage policies.Develop and refine operational workflows for improved efficiency and team collaboration.Event and Meeting Management
Plan and coordinate company meetings, events, and visitor tours.Manage logistics for employee travel and scheduling, as needed.Corporate Image Representation
Incorporate company brand and professional image into applicable aspects of the workplace (e.g., space layout, stationery supply, swag and corporate gifts selection, etc.).Coordinate with the press on behalf of the company for interviews, site visits, and filming / photography.Support marketing, design, and sales personnel with assets, as needed.Qualifications : Required
Experience : 8 years of experience in office or facilities management, preferably with 3 years in a company with a laboratory or technical environment.Education : Bachelor’s degree in business administration, operations management, or a related field. Advanced certifications in office management are a plus.Proven ability to manage dynamic work environments, preferably at startup companies.Exceptional organizational, problem-solving, and multitasking skills.Strong communication and interpersonal abilities to collaborate with diverse teams and external stakeholders.Advanced proficiency with tools like Microsoft Office Suite.Preferred
Familiarity with EH&S protocols for laboratory environments.Experience negotiating and managing vendor relationships.Proficiency in project management software (the company uses Monday.com), Quickbooks, and ERP systems.Berkner Group has been retained to execute this search.
