Job description
We are seeking a highly organized and motivated Assistant Property Manager, specializing in owner and tenant related duties. The assistant will support the Property Manager in managing relationships with property owners, handling administrative tasks, and helping to grow the property portfolio. This role will also focus on managing tenant-related aspects, including leasing, communication, and issue resolution, while providing support to the Property Manager in her day-to-day responsibilities. The ideal candidate will be organized, customer service-focused, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Owner Support:
Assist the Property Manager in maintaining strong relationships with property owners by responding to inquiries, scheduling meetings, and addressing concerns.
Help prepare and deliver regular updates and financial reports to owners, including monthly statements.
Assist in organizing and presenting property evaluations, market analyses, and other documentation for owner decision-making.
Business Development Assistance:
Support the Property Manager in acquiring new properties for management by helping with lead generation, outreach efforts, and follow-up communication.
Assist in preparing presentations and proposals for potential owners and investors.
Help conduct property research, evaluations, and market analyses for prospective clients.
Administrative Support:
Manage calendars, schedule meetings, and handle correspondence for the Property Manager, ensuring all tasks and deadlines are met.
Help maintain accurate records of property owner agreements, contracts, and other essential documents.
Assist in preparing monthly financial reports for property owners.
Property Management Operations:
Help manage accounts payable/receivable, and financial reporting.
Assist in managing vendor relationships, service contracts, and property inspections.
Help track and manage property expenses and invoices.
Compliance and Documentation:
Assist the Property Manager in ensuring all properties comply with local, state, and federal regulations.
Help prepare and manage owner agreements and other legal documentation related to property operations.
Tenant Relations:
Serve as the primary point of contact for tenants, addressing inquiries, concerns, and maintenance requests in a timely and professional manner.
Facilitate tenant onboarding, including lease preparation, renewals, and move-in/move-out processes.
Maintain accurate tenant records, including lease agreements, payment history, and contact information.
Coordinate with maintenance teams to ensure timely and efficient repairs and services.
Assist with rent collection, late fee management, and issuing notices for delinquent accounts.
Leasing Support:
Handling all marketing for available properties, scheduling property tours with prospective tenants, and processing applications.
Conduct tenant screenings, background checks, and prepare lease documents.
Handling lease renewal efforts, ensuring timely communication with tenants and processing necessary paperwork.
Making sure properties are move-in ready including: scheduling utilities, cleaning, carpet cleaning and rekeying (as needed).
Qualifications:
- Minimum of 2 years of experience in property management or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information.
- Must have reliable transportation.
- Ability to work independently and as part of a team.
- Knowledge of local, state, and federal property regulations and laws.

There will be a 90 day trial period.

Pay: $31,200.00 per year
