Summary:
The Director of Commercial Property Management functions as the professional-in-charge of the specific asset(s) under management. The Director is responsible for all aspects of client and tenant satisfaction. Of specific importance is working with the Property Managers and other internal team members in achieving stated financial results (NOI and cash flow) and operating objectives (leasing, capital improvements, system enhancements, tenant satisfaction, operating expense control, etc.). The Director is responsible for working directly with the Property Management team and clients to ensure a thorough understanding of investment objectives and the development of acceptable property-specific strategic plans and operating and capital budgets. Once developed, the Director must oversee the implementation of approved initiatives and programs by managing and coordinating the efforts of the property team (e.g., accounting team, vendors, contractors, and building employees). The Director is responsible for the management, supervision, and professional development of the Property Management team.
Essential Duties and Responsibilities
- Creates and implements the Property Management Plan for all assigned assets.
- Communicates effectively and frequently with the Property Managers, General Manager, and Vice President on all significant operating issues.
- Works with Berman and accounting to manage the accounting process and directs on-site bookkeeping functions and collection process.
- Prepares and reviews financial reports for clients on a monthly, quarterly, and annual basis, complying with requirements in the management services agreement.
- Analyzes financial statements to project future financial position and budget requirements.
- Reviews account aging reports to ascertain the status of collections and balances outstanding and to evaluate the effectiveness of current collection policies and procedures.
- Maintains intimate knowledge of lease agreements; ensures compliance from an accounting standpoint and acts upon from an operations point of view.
- Prepares adjustments to tenant billing process.
- Leads the annual budget preparation – assists with and directs property managers and other staff to compile key assumptions and capital budget information, maintain lease level budgeting for all tenants, review and coordinate the budget input into the accounting system.
- Recommends, justifies, develops, and coordinates projects that enhance the value of the buildings and remain in line with the asset life cycle projections.
- Works with Engineers and Property Managers to facilitate maintenance, repair, or renovation and obtains bids for additional work from outside contractors.
- Provides oversight of construction projects such as tenant improvements, renovations, and major repair and maintenance projects.
- Reviews construction plans, obtaining advice from internal stakeholders, to ensure new properties are designed to be efficient for property management and ongoing operations.
- Supports Leasing when information for new leases and financial projects are required.
- Responsible for the lease administration process and oversees internal lease administrators to ensure compliance and accuracy.
- Assists with the set-up of accounting information to collect specified rents and develops lease abstracts upon execution of the Lease.
- Working knowledge of MRI or other accounting systems to review various reports or reference rent, tenants, and associated lease administration.
- Assembles and analyzes contract bids and provides recommendations to the Vice President for execution.
- Acts as primary leadership team contact for service contractors and vendors.
- Maintains role as primary/secondary contact (after Property Manager) for tenants.
- Proactively meets with tenant representatives on a scheduled basis.
- Participates in collection discussions and coordinates default letters consistent with obligations and rights within the Lease.
- Ensures regulatory compliance with local, state, and federal property management laws and regulations.
- Develops and implements tenant retention programs to enhance tenant satisfaction and reduce turnover rates.
- Establishes and maintains relationships with vendors and service providers to ensure quality and cost-effective services.
- Develops and implements emergency preparedness plans and procedures for all properties.
- Conducts regular market analysis to stay informed about industry trends and competitive positioning.
- Identifies and mitigates potential risks associated with property management operations.
- Provides ongoing training and development opportunities for property management staff to enhance their skills and knowledge.
- Fosters positive relationships with the surrounding community and participates in community events and initiatives.
Additional Duties and Responsibilities
- Inspects all properties on a regular basis to ensure building operations are performing according to standards and procedures.
- Communicates and manages the tenant move-in/move-out process to minimize disruption to established tenants.
- Assures that appropriate insurance requirements are in place for all properties and manages the subsequent database to ensure all tenant and asset insurance is up to date.
- Cross-sells all Berman services. Participates in company-wide property management initiatives.
Qualifications
Education/Experience:
- Associates or Bachelor’s degree strongly preferred; advanced degree a plus. Industry accreditation and/or designation are also preferred.
- Minimum of five (5) years of commercial real estate or property management experience, including budget preparation/financial reporting, familiarity with building systems, lease documentation, and administration.
- Experience and proven track record of managing others and fostering a successful team environment.
Leadership and Team Management: Proven ability to lead, mentor, and develop a team of property management professionals.
Conflict Resolution: Strong skills in resolving tenant disputes and handling difficult situations with diplomacy.
Regulatory Compliance: In-depth knowledge of local, state, and federal property management laws and regulations.
Technology Proficiency: Familiarity with property management software (e.g., Yardi, MRI) and other relevant technologies.
Project Management: Experience in managing large-scale projects, including renovations and capital improvements.
Customer Service: Exceptional customer service skills to maintain positive tenant relationships.
Analytical Skills: Strong analytical and problem-solving skills to assess financial reports and operational performance.
Sustainability Practices: Knowledge of sustainable property management practices and energy-efficient building operations.
