Job Summary: The Quoting and Sourcing Coordinator is responsible for supporting the Operations and Sourcing manager in providing competitive quotes, managing supplier relationships, and ensuring efficient sourcing of materials and services. This role involves coordinating with customers, sales representatives, sales leadership, project managers, and domestic and international suppliers, maintaining accurate records, and assisting in the implementation of sourcing and quoting strategies.
Key Responsibilities:
  1. Quoting Support:
    • Assist in the preparation and distribution of requests for quotes (RFQs) to suppliers and customers.
    • Gather and analyze supplier quotes to ensure competitive pricing and terms.
    • Maintain a comprehensive database of supplier quotes and related documentation.
  2. Sourcing Coordination:
    • Support the development and implementation of sourcing strategies.
    • Identify and evaluate potential suppliers in collaboration with the sourcing team.
    • Conduct market research to stay updated on industry trends and supplier capabilities.
  3. Supplier and Customer Relationship Management:
    • Coordinate communications between customers and suppliers.
    • Assist in negotiating contracts, terms, and conditions with suppliers.
    • Monitor supplier performance and assist in resolving any issues or discrepancies.
  4. Record Keeping and Reporting:
    • Maintain accurate records of supplier information, quotes, and contracts in Airtable.
    • Prepare regular reports on sourcing activities, cost savings, and supplier performance.
    • Ensure data integrity and confidentiality in all procurement records.
  5. Compliance and Risk Management:
    • Ensure procurement activities comply with company policies and industry regulations.
    • Assist in identifying and mitigating risks associated with supplier relationships.
    • Support the implementation of best practices for ethical sourcing and procurement.
  6. Administrative Support:
    • Provide administrative support to the Operations and Sourcing Manager, including scheduling meetings and preparing documentation.
    • Assist in coordinating supplier visits and audits.
    • Support the onboarding of new suppliers and ensure all required documentation is complete.
Qualifications:
  • Associate's or Bachelor's degree in Supply Chain Management, Business Administration, or related field.
  • Minimum of 2 years of experience in procurement, sourcing, or a related role.
  • Strong organizational and communication skills.
  • Proficiency in procurement and quoting software and tools.
  • Attention to detail and ability to manage multiple tasks simultaneously.
  • Basic analytical and problem-solving abilities.
Preferred Qualifications:
  • Experience in the industry specific to the company's operations.
  • Knowledge of procurement and quoting processes and best practices.
  • Familiarity with international sourcing and global supply chain management.
Working Conditions:
  • Full-time position.
  • Office environment with occasional travel to meet suppliers and attend industry events.
