We are seeking an Executive Assistant/Marketing Assistant to join our team! You will provide high-level administrative support for the President/CEO at our companies and assist with the preparation of marketing proposals.
Responsibilities:
· Handle administrative needs of Owner/CEO
· Arrange conference calls and meetings
· Maintain and coordinate calendar/schedule
· Plan travel details as required for work-related and Owner/CEO’s personal travel
· Receive visitors
· Run errands as needed for both work and personal
· Order/Pick up meals, Meal Prep (microwave meal kits as needed)
· Manage/Assist with rental properties
· Manage/Assist with AirBNB
· Prioritize most important daily tasks as assigned by CEO
· Ensure delivery of timely and accurate information
· Keep track of tasks and follow through to completion
· Manage files and emails for CEO, both work and personal
· Assist with marketing as needed and help prepare proposals
· Other duties as assigned
Qualifications:
· Previous experience as an executive assistant, executive/personal and/or administrative assistant, or executive secretary
· College degree , Professional Executive Assistant Certification preferred or comparable experience
· Strong organizational skills
· Ability to prioritize and multitask is required. Being able to change between tasks is a must.
· Strong attention to detail
· Professional demeanor and excellent verbal/written communication skills are required
· Ability to maintain confidentiality of sensitive information.
· Familiarity with Google Suite or similar office productivity tools
· Experience with DocuSign or other electronic signature platforms is a plus
· Microsoft programs proficiency
· Time Management Skills
Candidates must have reliable transportation and be able to pass a background check and drug screen.
Regular Hours are Monday–Friday 8 am–5 pm with AirBNB responsibilities after hours when messages of immediate need are received. After hours and weekend AirBNB responsibilities can be worked remotely.
