Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, an understanding of medical insurance, attention to detail, and proficiency in office software, particularly Google Suite.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage calendars, schedule appointments, and coordinate meetings for staff members.
- Perform clerical duties including filing, data entry, and maintaining organized records.
- Utilize Google Suite for document creation, email correspondence, and calendar management.
- Handle incoming calls and inquiries with excellent customer service skills.
- Assist with administrative tasks such as preparing reports and maintaining office supplies.
- Ensure the reception area is tidy, welcoming and HIPAA compliant at all times.
- Process payments, manage billing inquiries, and assist with insurance verification.
- Maintain and update client records with accuracy and confidentiality using electronic health record systems.
Experience
- Proven experience as a receptionist or in an administrative role is preferred.
- Familiarity with mental health office procedures is a plus but not required.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent time management skills to prioritize workload effectively.
- Proficient computer literacy with experience in Google Suite applications.
- Strong typing skills and attention to detail are essential for this position.
