Position Summary:
We are seeking a diligent and detail-oriented Senior Ordering and Processing Specialist to join our e-Commerce team. The senior specialist will be responsible for processing and managing customer orders in an efficient and timely manner. They ensure that all orders are accurate, complete, and meet the company’s standards. They track inventory levels and shipments, perform price analysis and update pricing as necessary, handle customer inquiries and complaints, and communicate with suppliers and distributors to ensure that products are delivered on time. The senior specialist will also be involved in reviewing and processing market baskets of products submitted by customers and generating and updating reports to keep management informed about order processing activities.
Key Responsibilities:
· Develops quotes, reports and proposals for customers
· Updates pricing files
· Supports back-end web functionality, including product file management and updates, customer set up, technical customer support, and the generation of reports and analytics
· Maintains customer accounts and records of customer interactions with details of inquiries, complaints, or comments
· Builds rapport and relationships with vendors and suppliers
· Communicates with vendors and suppliers on ordering issues to best resolve the issue(s)
· Continuously seeks opportunities to improve processes and enhance efficiencies
· Receives and reviews orders for accuracy, including checking product availability and pricing details
· Processes customer orders promptly and accurately, makes necessary entries for orders in database
· Assists with marketing efforts of the e-commerce platform
· Assists with production posted when necessary
· Performs other duties as assigned
Qualifications:
· Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
· Proven experience in accounts receivable or a similar finance-related role.
· Strong understanding of accounting principles and procedures.
· Proficiency in accounting software and Microsoft Office Suite, especially Excel.
· Excellent attention to detail and high level of accuracy in data entry.
· Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
· Excellent communication and customer service skills.
· Ability to work independently and collaboratively within a team.
· Experience working in a non-profit environment or familiarity with issues related to visual impairment is a plus.
