Position Overview of the Operations Specialist :
The Issuer Solutions Operations Team at Mediant Communications is responsible for working directly with several of our Strategic Partners to support their client's in processing their annual meeting events. The team also provides operational support for Mediant's Issuer Solutions relationship managers as they administer service delivery directly to our issuer clients. Primary functions of the team include job setup, site creation, coordinating the distribution of all Proxy material and communicating final tabulation results of the proxy event to all interested parties. Additional functions include job status reporting and invoicing.
The role of the Operations Specialist is to act as the primary point of contact for a subset of our external strategic partners, as well as our internal Issuer Solutions relationship managers - ensuring that all the operational and administrative proxy duties are delivered in an efficient and timely manner. This is a hybrid position and will require this person to be in our Cary, NC office 3 times per week.
Duties and Responsibilities of the Operations Specialist :
- Review, monitor and manage workflow dashboards to ensure events are properly setup in our systems and ensure various tasks along the event life cycle are completed within strict deadlines.
- Act as the client point of contact for subset of strategic partners. Complete initial and ongoing due diligence and responding to client inquiries regarding proxy services.
- Provide operational support for Issuer Solutions Service Delivery team supporting direct issuers, provide management reporting and manage internal database and reporting systems.
- Liaison to third party vendors and partners. Review service quality standards and service levels.
- Perform quality assurance role, including but not limited to : Oversee print and mailing vendors, proxy printing and mailing, monitoring various web sites for functionality and accuracy.
- Secondary responsibilities include development of operational procedures, quality standards, correspondence templates, and external communications. Creating management reports and materials for staff meetings. Other projects and responsibilities as assigned.
- Able to work overtime and flexible hours, particularly during proxy season (Jan-Jun).
- Coordinating setup of Mediant voting websites and telephone voting systems with internal web design teams and ensuring complete communication across all other service providers involved in the proxy process.
- Work with clients globally, including U.S., Canadian, European, Latin American and Russian issuers.
