Join the dynamic team at Beth El Synagogue and help make a meaningful impact in the community! We are seeking a warm, proactive, and engaging Executive Coordinator to be the first point of contact for our members and visitors. In this essential role, you will support our Executive Coordinator and contribute to the smooth operation of our synagogue. The ideal candidate will have a positive, welcoming attitude, and strong organizational and communication skills, combined with a familiarity with Jewish customs and a passion for nonprofit work.

As the first person our members interact with, you will play a key role in fostering a welcoming and supportive environment for our synagogue community. Your efforts will ensure smooth day-to-day operations while contributing to the nurturing of Jewish traditions.

Key Responsibilities:

  • General Office & Administration:
  • Be the first point of contact for members, including answering phone calls, greeting visitors, and addressing inquiries with warmth and professionalism.
  • Assist in the coordination of building facilities, including security oversight of the main campus and cemetery.
  • Maintain records for philanthropic programs and ensure accurate data management.
  • Take and keep minutes during monthly board meetings.
  • Facilitate communication between the Executive Director, Clergy, staff, members, and vendors.
  • Ensure timely and accurate information is provided to assist the Executive Director in decision-making.
  • Draft, format, proofread, and send various forms of correspondence.
  • Create graphics for communications and events.
  • Coordinate schedules and appointments for the Executive Director.
  • Maintain and update accurate records in our database; run reports and lists as needed.
  • Handle administrative tasks related to membership and communication management.
  • Cemetery Management:
  • Oversee cemetery operations, including record maintenance, funeral coordination, and selling of plots.
  • Provide compassionate customer service to grieving families, ensuring a respectful experience.
  • Manage scheduling and internments, ensuring accuracy in record-keeping.
  • Special Event Support:
  • Assist in organizing and attending special events as required by the synagogue.
  • Be available for a minimum of one Saturday per month (10am–1pm) and a minimum of one Friday evening per month (5:30pm–7pm) as part of your duties.
  • Funeral attendance will be required to support grieving families and assist with funeral-related coordination.
  • Attend monthly evening board meetings once a month.
  • Confidentiality & Sensitivity:
  • Handle confidential information regarding synagogue operations, members, and staff with discretion and integrity.

Qualifications & Skills:

  • Minimum of 3-4 years of office experience, preferably in an administrative or executive support role.
  • Prior non-profit experience a plus.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Canva (or other graphic design platforms).
  • Comfortable using membership management platforms and office technology.
  • Ability to quickly learn new software, including customized database systems.
  • Strong organizational skills with attention to detail and the ability to prioritize tasks.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proven ability to manage multiple priorities, work under pressure, and meet deadlines.
  • Ability to work both independently and as part of a team.
  • High level of professionalism, flexibility, and a proactive attitude.
  • Knowledge of Judaism a plus; willingness to learn essential.
  • Ability to maintain confidentiality and demonstrate discretion when handling sensitive information.
  • Warm, engaging, and proactive demeanor when interacting with members, clergy, and visitors.

Additional Information:

  • Work hours: Monday–Thursday, 9:00am–5:00pm; Friday, 9:00am–3:30pm, with flexibility to work a minimum of one Saturday per month (10am–1pm) and minimum of one Friday evening per month (5:30pm–7:00pm). Attend monthly Board Meeting once a month.
  • Funeral attendance will be required to provide support during difficult times.
