Duties and Responsibilities
- Maintain accurate and secure academic records in compliance with FERPA and institutional policies.
- Develop and manage course schedules in collaboration with academic departments.
- Collaborate with the Director of Athletics to determine athletic eligibility.
- Oversee course registration processes, including add/drop periods, withdrawals, and waitlisted courses.
- Monitor degree progress, coordinate graduation audits, and certify graduation candidates.
- Interpret and implement academic policies in compliance with accreditation and regulatory requirements.
- Provide data and analysis for institutional reporting, accreditation, and strategic decision-making.
- Assign classrooms and manage room reservations.
- Supervise and verify work-study students’ hours.
- Manage registration and student records for articulation programs (e.g., West Liberty, West Virginia Wesleyan College, Rize).
- Serve as a liaison for Veterans Affairs and coordinate with the Business Office.
- Act as a secondary PDSO for SEVIS, supporting international students with compliance and documentation.
- Process student transfer credit evaluations in collaboration with the Admissions Office.
- Process transcript requests, enrollment verifications, and external transcript evaluations.
- Support the Academic Standards and Curriculum Committees by maintaining accurate student files.
- Coordinate honors eligibility, comprehensive exams, and diploma distribution.
- Verify high school transcripts for incoming students.
Essential Functions
- Efficiently operate personal computers and software (Outlook, Word, Excel, Ellucian Colleague, Canvas, Element 541).
- Communicate effectively with diverse populations and the college community.
- Maintain confidentiality of records and uphold data integrity.
- Demonstrate attention to detail and accurately manage digital and physical records.
- Handle multiple projects simultaneously while meeting strict deadlines.
Qualifications
Required
- Bachelor’s degree required; Master’s degree preferred in higher education, student services, or a related field.
- 3-5 years of experience in a registrar’s office or related administrative role.
- Knowledge of FERPA, accreditation standards, and higher education policies.
- Proficiency with student information systems (e.g., Ellucian Colleague, Colleague Self-Service).
- Strong organizational, analytical, and problem-solving skills.
- Effective time management skills.
- Excellent communication and interpersonal skills.
- Commitment to providing exceptional service and supporting student success.
Preferred
- Experience working in a small college environment.
- Ability to collaborate and critically review academic requests.
