What are the responsibilities and job description for the Resident Clerk / Scheduler position at Bethany Village?
Position Overview:
Responsible for overall scheduling of the Courtyards staff and ensuring coverage and making changes as needed due to new assignments and replacement of staff. Attention to detail on a daily basis in regards to nursing scheduling as well as working Administrative Assistant with transportation scheduling. Works closely with Director of Clinical Services to ensure staff are being scheduled fairly and consistently.
Essential Duties & Responsibilities:
- Schedule staff based on master staffing schedule/plan. Handle scheduling issues as they arise, coordinate any scheduling changes necessary on a daily basis, including call-ins that occur during work hours.
- Works professionally with staff to provide consistent, accurate staff for residents.
- Perform PCA II/HHA duties on the floor when staff coverage is needed.
- Oversees employee time and attendance records.
- Coordinate and schedule new staff orientation through all phases.
- Ensures that staffing stays within budget guidelines.
- Effective communication with staff, family members and/or resident and outside agencies.
- Coordinates with Human Resources regarding the onboarding of new hires.
- Greets new employees on first day, enter into payroll time clock system when needed, tours facility and reviews new employee orientation checklist.
- Ability to handle emergency appointments and scheduling transportation with Medicaid and local transportation companies.
- Perform clerical duties as needed.
- Represents Bethany Village in a professional manner when contacting physicians, residents, families and staff.
Basic Duties and Responsibilities:
- Maintains accurate scheduling records.
- Ensure staff members have completed all necessary scheduling paperwork.
- Responsible for maintaining confidentiality of all residents and facility information.
- Performs other duties as assigned.
_ Education Required: _
- HHA/PCA II certified.
- High school diploma or GED required.
- Ability to read, speak and write English is required.
- Must be proficient in Microsoft Office programs.
Experience Required:
- Staff scheduling experience preferred.
- Experience with computer systems required, including web based applications and Microsoft Office.
- Must possess a high degree of interpersonal relations skills and capability of relating to a variety of people and personalities.

- Hours: Mon-Fri. 9:00AM – 3:00PM
- Working conditions for this position may include the following: Inside, adequate lighting / ventilation, working with/around others, and working alone.
Physical Demands:
- Office setting with little lifting required (<10 lbs, throughout the day)
- Constant walking, standing, turning, crouching, pushing wheelchairs and carts, sitting, talking, hearing, seeing, depth perception, and concentration are required for this position.
