Job Summary:
Bethel Wellness Community is seeking a Medical Records and Supply Coordinator to oversee medical records management, supply ordering and distribution, and front desk/reception duties. The ideal candidate will be a Certified Nursing Assistant (CNA) or Qualified Medication Aide (QMA) who can also participate in the on-call staffing rotation to ensure smooth operations within our facility. This role requires a detail-oriented and organized professional who can multitask effectively in a fast-paced healthcare setting.
Key Responsibilities:Medical Records Management:
- Maintain accurate and up-to-date medical records in compliance with state and federal regulations.
- Ensure timely filing and retrieval of resident records.
- Monitor and audit documentation for completeness and accuracy.
- Assist with survey readiness and compliance audits related to medical records.
Supply Coordination:
- Order, track, and maintain medical and office supplies for the facility.
- Work closely with vendors to ensure cost-effective and timely delivery of supplies.
- Distribute and restock nursing and medical supplies as needed.
- Monitor inventory levels and report shortages to leadership.
Front Desk & Reception:
- Answer phones, direct calls, and greet visitors in a professional manner.
- Assist residents, families, and staff with general inquiries.
- Maintain a welcoming and organized reception area.
- Handle incoming mail and deliveries.
On-Call Staffing Rotation:
- Participate in the on-call staffing rotation to assist in covering CNA/QMA shifts as needed.
- Support the nursing team with occasional direct resident care as required.
- Assist in scheduling and coordinating shift coverage.
Qualifications:
- Must be a CNA or QMA with an active certification.
- Experience in medical records, supply management, or administrative roles preferred.
- Strong organizational skills and attention to detail.
- Ability to multitask and work effectively in a team environment.
- Proficiency in basic computer applications (Microsoft Office, EMR systems preferred).
- Strong customer service and communication skills.
- Ability to work in a healthcare setting and participate in an on-call rotation.
