Maintenance Clerk
The Maintenance Clerk facilitates the smooth operation of the maintenance department by assisting the Maintenance Director with maintaining records, ordering equipment and supplies, and assisting with inventory management.
Essential Duties & Responsibilities:
- Record Keeping: Maintain accurate records of all maintenance activities, including work orders, service requests, and repair logs.
- Scheduling: Coordinate and schedule parts availability and delivery to maintain technician workflow.
- Inventory Management: Monitor and manage inventory levels of maintenance supplies and parts, placing orders as necessary to maintain adequate stock.
- Work Order Processing: Assist in receiving, prioritizing, and processing work orders, ensuring that maintenance requests are addressed promptly. Getting quotes for parts, new equipment or with contractors for major jobs.
- Documentation: Prepare and update maintenance reports and spreadsheets to track performance metrics and maintenance history.
- Communication: Communicate via phone, text and email with maintenance staff, vendors, and other departments to ensure efficient workflow and timely resolution of issues.
- Support: Assist the maintenance team with administrative tasks, including filing, data entry, and correspondence.
Qualifications/Skills:
- Experience: Previous experience in a clerical or administrative role, preferably in a maintenance or facilities management environment.
- Organizational Skills: Strong organizational and multitasking skills with attention to detail.
- Communication Skills: Strong verbal and written communication skills.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Time Management: Ability to prioritize tasks and manage time effectively to meet deadlines.
Education, Experience, and Licensing Requirements:
- High school diploma or G.E.D.
- 1 year of general office experience or equivalent training.
- Familiarity with maintenance processes and terminology.
- Strong customer service skills and the ability to work collaboratively with various departments and external vendors.
