Assistant Property Manager/Administrative Assistant

Position Overview:
We are seeking a highly organized, detail-oriented Assistant Property Manager to join our team. The ideal candidate is a quick learner, problem solver, and excellent communicator who thrives in a fast-paced environment. This position works independently at times but also collaborates closely with a Property Manager to ensure smooth operations.
Experience with AppFolio and Tenant Turner is required, and familiarity with Google Suite (Gmail, Drive, Docs, and Sheets) is preferred.
Key Responsibilities:
- Answer incoming calls and provide excellent customer service.
- Follow up with tenant prospects, schedule self-access showings, and send necessary notifications.
- Work with Property Manager to coordinate move-in, move-out, and annual property inspections, ensuring all documentation and photos are properly recorded.
- Contact tenants regarding past-due rent, follow up on payment arrangements, and assist with rent collection efforts.
- Transfer utilities after tenant move-outs to ensure seamless property transitions.
- Process and distribute incoming mail, including rent payments.
- Post necessary legal notices (such as Pay or Quit notices) in compliance with local and state regulations.
- Organize and maintain the key sign-out sheet, ensuring security and accountability.
- Assist in property marketing efforts by updating listings and responding to inquiries.
- Provide administrative support to the property management team, including data entry and document organization.
- Work closely with the Property Manager to coordinate and schedule work order and maintenance requests and follow up on work orders.
Qualifications & Skills:
- Experience using AppFolio and Tenant Turner software.
- Familiarity with Google Suite (Gmail, Drive, Docs, and Sheets) preferred.
- Computer literate and office equipment.
- Strong attention to detail, organization, and multitasking skills.
- Quick learner with the ability to adapt to changing priorities.
- Excellent problem-solving skills and ability to work independently.
- Professional communication skills, both written and verbal.
- Must have a valid driver’s license, reliable vehicle, and active car insurance.
- Preferred but not required: Candidates with prior property management, leasing, or administrative experience preferred.
- A real estate sales license is a plus.
