Patient Coordinator
The Patient Coordinator is a part of the decision- making team that helps the business continuously grow and improve. As a Patient Coordinator, you will play a pivotal role in ensuring a seamless and luxurious experience for our clients. You will be responsible for managing the client journey from initial contact to post-treatment follow-ups. Your primary focus will be on providing exceptional customer care, understanding client needs, and facilitating a welcoming atmosphere. Additionally, you will handle front desk duties to maintain efficient operations and uphold our standards of excellence.
Key Responsibilities
Client Interaction:
- Greet clients warmly upon arrival and ensure they feel welcomed and valued throughout their visit.
- Act as the primary point of contact for clients, addressing inquiries, scheduling appointments, and providing information about services.
- Conduct thorough consultations to understand clients' goals, concerns, and preferences, guiding them through available treatment options.
- Maintain ongoing communication with clients to ensure satisfaction and address any post-treatment questions or concerns.
Client Journey Management:
- Coordinate the entire client journey, from the initial consultation to treatment completion and beyond, ensuring a personalized and memorable experience.
- Collaborate with medical staff and aestheticians to schedule treatments, follow-ups, and any necessary pre- or post-treatment care.
- Provide detailed information on pre-treatment instructions and post-treatment care routines to clients, ensuring they have a clear understanding of expectations.
- Proactively anticipate client needs and preferences, offering tailored recommendations to enhance their experience and results.
Front Desk Duties:
- Manage incoming calls, emails, and inquiries promptly and professionally, directing them to the appropriate staff members or departments.
- Schedule appointments accurately using our appointment booking system, coordinating with providers to optimize scheduling efficiency.
- Maintain cleanliness and organization at the front desk area, ensuring a welcoming and professional environment for clients and staff.
- Handle administrative tasks such as maintaining client records, processing payments, and managing inventory of retail products.
Uphold Standards of Luxury Experience:
- Ensure that every interaction with clients reflects the luxury and quality standards of Beverly Hills Rejuvenation Center.
- Pay meticulous attention to detail in every aspect of client service, from the ambiance of the waiting area to the presentation of treatment rooms.
- Continuously seek opportunities to enhance the client experience, whether through personalized amenities, special promotions, or additional services.
- Act as a brand ambassador, embodying our values of professionalism, expertise, and dedication to client satisfaction.
Clinic General
- Works closely with clinic Managers on all areas of the business
- Keeps management and/or Medical Director promptly and fully informed of all issues (e.g., problems, unusual matters of significance, and positive events) and takes prompt corrective action where necessary or suggests alternative courses of action.
- Completes job responsibilities and sales performance objectives in a timely and effective manner and in accordance with Beverly Hills Rejuvenation Center policies and procedures.
- Maintain a favorable working relationship with all employees to foster and promote a cooperative and harmonious working climate which will be conducive Operational Responsibilities
Personnel
- Assess training needs and provide training to team members between locations
- Provide ongoing training as necessary
- Ensure all HR policies are enforced
Marketing
- Assist with creating monthly specials in collaboration with team, management and marketing
- Convert patient leads into clients. Ensure all client leads are promptly contacted and proper follow up is completed and recorded
- Ensure Lead Management Database is being maintained daily
Job Type: Full-time
Salary: $18.00 - $25.00 per hour
Expected hours: 32 – 40 per week

Experience/Qualifications
- Previous experience in a customer service or hospitality role, preferably in a luxury spa or medical setting.

- Strong organizational abilities and attention to detail, with the ability to multitask and prioritize in a fast-paced environment.
- Knowledge of medical spa treatments and procedures is preferred but not required; willingness to learn and stay informed about industry trends.
- Proficiency in computer skills, including experience with scheduling software and Microsoft Office suite.
- Flexibility to work evenings and weekends as needed to accommodate client appointments and spa events.
