Job Summary:
The Procurement Coordinator provides administrative support to the Sales and Project Teams. This role will assist in overseeing and handling the Purchase Order Processing system, liaising with internal and external personnel regarding invoice queries and co-ordination of third party purchase orders. The Procurement Coordinator will work on any other initiatives and ongoing projects as assigned in addition to any other duties the Company may assign. This position will report to the Procurement Team Manager.
Duties/Responsibilities:
- Update and maintain vendor contact information and database
- Oversee the process of executing renewals of software, hardware and maintenance including but not limited to Firewall, Server and software.
- Report on existing renewals to ensure laps in service are mitigated.
- Audit invoices as it relates to items purchased for any discrepancies
- Provide functional assistance to all departments with the purchasing process and train where necessary
- Process all vendor qualification information as assigned
- Prepare and execute purchase orders
- Create Statement of Work for all project work and any software/hardware purchases.
- Handle shipping and receiving needs for the office as needed.
- Maintain standards documentation and coordinate and update when changes occur
- Maintains files, records, reports and correspondence regarding requisitions and purchasing process.
- Works closely with managers to determine and fulfill needs regarding supplies, services, equipment and order status, and monitors compliance.

Education and Experience:
- 2-4 years related experience and/or training; or equivalent combination of education and experience preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to life up to 15lbs
