Full-time: 8 hours paid with 0.5 hour unpaid lunch
Daily Schedule: (7:15am to 3:45pm)
Contract Days: 206 days (198 work days and 8 paid holidays)
Salary Schedule: In accordance with OAPSE/AFSCME LOCAL 4/AFL-CIO AND ITS LOCAL #123. Range with verifiable and related experience $24.30 p/hour to $26.01 p/hour

Reports to: Building Principal
Our Elementary Secretary is the first point of contact for students and visitors to the elementary school. Provide clerical and collaborative assistance for the efficient and effective operation of the school and the office. Assist, where appropriate, the school staff as well as students, families, and member of the community. This is a fast-paced environment that requires excellent communication, organizational, and problem-solving skills.
Qualifications:
- High school diploma or equivalent required,
- Associate's degree preferred,
- Two years of related office experience, or equivalent,
- Such alternatives to the above qualifications as the Superintendent may find appropriate.
Knowledge, Skills and Abilities:
Knowledge of school and district safety procedures and processes to support the safety of students, staff, and visitors.
Ability to work effectively with others and utilize effective, active listening skills.
Ability to communicate ideas and directives clearly and effectively both orally and in writing.
Organizational and problem-solving skills.
Ability to generate correspondence independently.
Ability to operate office equipment, e.g., copy machine, fax machine.
Excellent computer skills and ability to utilize appropriate computer software.
Knowledge of office practices and procedures; ability to communicate effectively, develop and maintain effective working relationships with staff students, families, and the general public; follow oral and written instructions, prepare and maintain accurate documentation in accordance with the board of education policy.
Knowledge of English grammar, punctuation, and spelling; skill in typing and proofreading.Ability to perform calculations, read and record data accurately, and file documents alphabetically, chronologically, or numerically.
Ability to confidently and tactfully assist people in the midst of stressful, difficult, and challenging situations.
Ability to interact in a positive manner with staff, students, families, and community.
Essential Duties:
Answers telephone/email messages, takes, and forwards messages.
Types and distributes letters, reports, memos, bulletins, records, and similar items; prepares state and special reports, including student recognition programs and certificates.
Handles accounting, recordkeeping, requisitions, purchase order, time sheets, pay sheets, attendance, assessment schedules, and other data collection and preparation. (e.g., field trips).
Maintains office and student records and files; files reports, documents, and correspondence in accordance with district policy and state law.
Performs routine clerical duties such as bulk mailing, sorting mail, and distributing incoming mail; makes copies, creating surveys and other forms pertinent to the position and department.
Assist with facility scheduling, building calendars, and school website.
Responsible for scheduling students utilizing the student information system, and assignment of student lockers.
Data entry to computer and keep computer information current; word processing.
Support the volunteer process and applications, and guide volunteers.
Coordinate with central enrollment to finalize all enrollment and withdrawal tasks, including annual student verification.
Coordination of guest teachers and all associated tasks utilizing the district absence management software.
Work with outside vendors, such as school pictures for logistics as needed.
Start and end of the school year tasks, including fee tracking, collecting district property from teachers (keys, swipe cards, laptops, etc.), transferring and receiving records from other schools.
Support Secretary I during absence, breaks, and/or times of high traffic.
Order and distribute departmental and individual classroom supplies, teacher, staff, and other supplies as approved by the Building Administrator.
Assist in the maintenance of the uniform filing system for all information and other pertinent data.
Maintain respect at all times for confidential information, e.g., custodial papers, IEPs, birth certificates, grades, medications and health restrictions, court documents and papers.
Operate, maintain, and organize repairs for job related equipment such as copiers, scanners, fax machines, calculators, and computers.
Attend meetings and professional development as required.
Perform other duties as assigned by the Building Administrator, Superintendent, or Superintendent Designee.
Additional Working Conditions:
May occasionally be exposed to blood, bodily fluids, and tissue.
Must follow all safety guidelines for blood-borne pathogens.
Frequent interruption of tasks to support students, visitors, staff and/or telephone.
Must occasionally work nights/extended days due to school functions.
Repetitive tasks, e.g., typing.
6. Must be mobile to assist others and move around the school and grounds.
