Position Overview:
The Professional Assistant will serve as a key support to the owners, anticipating needs and ensuring tasks are completed efficiently with little to no supervision. This individual will take ownership of administrative, organizational, and project management responsibilities, ensuring the business runs seamlessly.
Key Responsibilities:
- Act as the primary point of contact for the owner, managing communications, scheduling, and appointments.
- Proactively anticipate needs and prioritize tasks to ensure the owner’s time and focus are optimized.
- Coordinate meetings, site visits, and project timelines with precision.
- Prepare proposals, contracts, and client presentations with attention to detail.
- Maintain organization in the office, ensuring documents, files, and systems are up to date.
- Oversee vendor relationships and ensure timely follow-up on orders, deliveries, and installations.
- Handle confidential matters with discretion and professionalism.
- Identify potential issues or delays and address them proactively to maintain smooth operations.
Qualifications:
- Proven experience as an assistant, administrative professional, or similar role.
- Strong organizational and time management skills.
- Proactive thinker with the ability to anticipate needs and independently execute tasks with little to no supervision.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other productivity tools (e.g., Google Workspace, project management software).
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Familiarity with the construction or design industry is a plus but not required.
- High level of discretion and professionalism.
