What are the responsibilities and job description for the Receptionist position at Beyond Excellence, LLC?
Duties include but not limited to:
- Greet and engage providers, individuals, and other visitors with a friendly and welcoming demeanor.
- Review outgoing mail for consistency and compliance with policies and procedures.
- Perform general clerical duties, including but not limited to photocopying, faxing, and mail distribution.
- Answer phones, direct calls to appropriate personnel, and take messages as needed.
- Operate standard office equipment, including telephones, copiers, fax machines, and computers; inventory, order, and maintain office supplies and forms; complete purchase requisitions and receive supplies.
- Organize files, prepare documents, compile mail merges, and send out letters.
- Retrieve appropriate information upon request for internal and external use.
- Correspond and communicate with other companies, businesses, agencies, and providers as required or needed.
- Accept payments or fees from providers and issue receipts for all transactions (when necessary).
- Schedule trainings and seminars for residential providers, day program staff, and general staff, ensuring all are up to date with certifications, required documents, and trainings via in-person sessions or TalentLMS.
- Schedule and coordinate meetings and/or special events, including reserving facilities, arranging equipment and materials, securing speakers, organizing refreshments or meals, developing agendas, and arranging seating as needed.
- Provide general process guidance to prospective providers and Direct Support Professionals (DSPs) and prepare application packets.
- Maintain confidentiality in accordance with HIPAA guidelines.
- Schedule home inspections and send monthly reminders via the Icon online platform.
- Perform additional administrative tasks as assigned.
This position reports to the Office Manager.

- Friendly and professional appearance, with the ability to dress in modest business casual attire unless the day’s tasks require otherwise.

- Proficient in Microsoft Office Suite with a working understanding of PC computers.
- Detail-oriented and comfortable working in a fast-paced office environment.
