From keeping our recruiting process organized and running like clockwork to onboarding new clients and contractors, you’ll play a key role in scaling a new division and delivering exceptional service. Expectations of the Role:
- Availability: Flexibility to work outside of core business hours and weekends during peak seasons
- Interview Scheduling & Coordination: Efficiently schedule candidate interviews, client calls, and internal meetings—often juggling multiple roles and calendars.
- Strong Communication: Ensure timely, professional, and personalized communication with all clients and contractors both verbally and in writing
- Recruiting Process Support: Assist with posting jobs, reviewing resumes, conducting initial outreach, conducting reference checks, and file organization (e.g., background checks, references).
- Systems & Data Accuracy: Keep the HRIS, applicant tracking system, and scheduling systems up-to-date with accurate information
- Process Optimization: Identify bottlenecks and suggest improvements to enhance speed, quality, and candidate experience.
- Contractor Experience Champion: Help ensure that every contractor feels respected, informed, and valued, whether they take an assignment or not.
- Must Love Dogs: We have two office dogs, Merlin & Goose, so it’s essential that you love to play and give belly rubs on demand.

Core Responsibilities:
General Administration
- Support and assist the team as needed, including managing the shared mailboxes used to communicate with clients and contractors
- Manage incoming calls and direct them to the appropriate person
- Maintain cleanliness and organization of main office areas
- Assist in research, problem solving, and communication of findings/explanations to contractors and client questions/concerns as needed. Ensures timely responses are provided to the requestor.
- Provide outstanding client and contractor experience through professional, thoughtful, and timely communications.
Client & Contractor Onboarding
- Take ownership of onboarding for new clients and contractors, including background and credit check processing, ensuring a seamless experience
- Partners with vendors (i.e., background check, drug testing vendors, etc) to ensure onboarding tasks assigned to contractors and clients are completed on time.
- Review credit checks, background checks, and reference checks to ensure information is complete; report discrepancies to the appropriate recruiter
- Manage I-9 verification process
- Accurately interprets and educates clients and contractors regarding policy/procedures
- Continuously evaluate and improve the onboarding process to enhance overall engagement and retention
- Monitor onboarding metrics and implement improvements as needed
Payroll Administration
- Manages payroll process post-assignment to ensure timesheets are approved and processed timely
- Partners with payroll vendor to ensure contractors receive accurate paychecks. Proactively mitigates issues due to overpayments, terminations, bonuses, status changes, errors in timekeeping, etc. in accordance with established policy and procedures.
Building Relationships:
- Attend conferences and events to generate new business and expand existing relationships as needed
- Develop strong relationships with the Staffing, Direct Hire, and Leadership team, investing in learning about all aspects of our business
Other:
- Up for the Wild Card! Assists with projects and communications as needed.
Minimum Qualifications for success in this role include:
- Bachelor's Degree in Business or Human Resources preferred; education may be partially substituted for work experience
- At least 2 years' work experience in an operations support role, preferably in recruiting or human resources
- Strong interpersonal skills; able to effectively interact with individuals at all levels, both internally and externally
- Ability and interest to work in the office at least four days per week. We currently offer remote work on Fridays; however, this is evaluated based on performance and business needs
- Demonstrated ability to lead projects and initiatives, including implementation and change management
- Technical proficiency with software systems and other tools applicable to our industry
- Excellent interpersonal communication skills, including verbal and written, as well as being comfortable leading presentations as needed
- Willing to travel overnight to attend conferences and events (less than 5%)
Preferred Qualifications in this role:
- Experience working with multi-state or international organizations
- Proficiency in HR analytics and data-driven decision-making
