### Job Summary:
We are seeking an experienced and organized Office Coordinator to join our team. The Office Coordinator will be responsible for managing administrative tasks, coordinating office operations, and providing support to the team. The ideal candidate will have strong organizational skills, excellent communication abilities, computer skills, and a proactive approach to problem-solving.
### Responsibilities:
- Work as part of a team to provide physical therapy services to our patients under the direction and supervision of the physical therapist
-Ensure facility hygiene and maintenance through routine infection control procedures and regular housekeeping
-Exercise equipment setup
-Therapeutic exercise monitoring
-Modalities setup
-Coordinate patient referrals, registration, and scheduling
- Oversee day-to-day office operations and ensure efficient functioning
- Manage front desk activities, including greeting patients and answering phone calls
- Coordinate and schedule appointments and meetings
- Handle office correspondence, including emails, letters, and packages
- Greet all patients and other visitors
-Operate standard office equipment, such as computer, printer, and phone
- Keep information confidential per HIPAA
-Verify insurance information and obtain pre-authorization if required
- Communicate with appropriate staff for billing issues
- Participate in internal chart audits, billing audits, and other compliance programs
- Represent the clinic in the community through participation in marketing opportunities
- Maintain EMR by organizing and maintaining documents
### Requirements:
- Proven experience in an administrative or office coordination role
- Proficient in using office software (e.g., Microsoft Office Suite)
- Proficient in Google Workspace
- Familiarity with phone systems and other office equipment
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Ability to work independently as well as collaborate with a team
- Experience in vendor management is preferred
- Positive attitude and team-orientation required
