Starting Salaary 61,000-67,100*

The Special Events Coordinator plans, coordinates, and executes fundraising events, agency initiatives, and community outreach activities in alignment with the Agency’s mission and values. This role manages event logistics, budgets, sponsorships, and donor engagement while ensuring compliance with fundraising standards. They collaborate with leadership, staff, volunteers, and board members to strengthen fundraising efforts, donor relationships, and marketing initiatives in partnership with the Director of Communications.
This position also plays a key role in integrating the agency’s wellness initiatives into event planning and execution, promoting activities that support the well-being of staff, volunteers, and attendees. Furthermore, the Special Events Coordinator fosters a sense of belonging by ensuring events are inclusive, accessible, and reflective of the diverse communities the agency serves.
Job Responsibilities
- Special Event Management:
- Plan, coordinate, and execute all special events, including fundraising events, Agency events (i.e. donor, employee engagement), and community outreach activities.
- Manage event logistics, including venue selection, vendor negotiation, budget management, marketing, and day-of execution.
- Collaborate with staff, volunteers, and committees to ensure smooth event operations.
- Secure event sponsorships and in-kind donations to maximize event profitability.
- Budgeting and Financial Management:
- In conjunction with CEO and CFO, develop and manage an annual budget for initiatives, including event-specific budgets.
- Track and report on event, fundraising, and campaign performance, providing regular updates to leadership and board members.
- Ensure fundraising and event activities comply with legal and ethical standards.
- Board and Volunteer Engagement:
- Collaborate with the Board of Directors and development committees to leverage their networks and increase fundraising opportunities.
- Engage the board in fundraising initiatives, ensuring alignment with organizational goals.
- Recruit, train, and manage volunteers for events and development activities.
- Fundraising Strategy and Donor Engagement:
- Develop and implement annual fundraising plans in alignment with organizational goals.
- Identify, cultivate, and steward donors, sponsors, and corporate partners.
- Manage donor recognition programs and develop strategies for donor retention and growth.
- Maintain donor databases, ensuring accurate record-keeping and timely communications.
- Collaborate with the Director of Communications to create and implement effective marketing strategies for fundraising campaigns, special events, and, including social content, email marketing, newsletters, press releases and promotional materials.
- Lead and support the formation and development of internal and external committees as needed.
Skills
· Strong leadership and organizational skills, with the ability to manage multiple projects and deadlines.
· Excellent communication and interpersonal skills, with the ability to build relationships with donors, sponsors, and volunteers.
· Experience with donor management software and event planning tools.
· Knowledge of capital campaign strategies, fundraising regulations, and best practices.
· Ability to work flexible hours, including evenings and weekends as required by event and campaign schedules.
Education
· Bachelor’s degree in nonprofit management, marketing, communications, or a related field (Master’s preferred).
· 3-5 years of experience in development, fundraising, event planning, preferred
· Proven track record of meeting or exceeding fundraising goals, preferred
· Proficiency in email marketing platforms
· Ability to use social media scheduling tools
· Experience with graphic design tools like Canva or Adobe Creative Suite (Photoshop, InDesign) for event materials.
· Familiarity with platforms like Zoom, Microsoft Teams, for virtual/hybrid events.
· Knowledge of AV setup, live streaming, and webinar software a plus
· Proficiency in Microsoft Excel or Google Sheets for budgeting and tracking expenses.
