The IT Project Team Coordinator handles working closely with IT Leadership (i.e., calendar management, travel arrangements, meeting coordination, report generation, as well as correspondence, etc.)

The IT Project Team Coordinator handles working closely with IT Leadership (i.e., calendar management, travel arrangements, meeting coordination, report generation, as well as correspondence, etc.)
Responsibilities For This Role Are As Follows
- Work with various levels of IT Leadership in a professional environment.
- Managing the VP of IT business and evolving daily calendar, including managing complex scheduling requests for large groups while exercising good judgment in deciding priorities.
- Compile meeting materials, including agendas and minutes as needed.
- Aid in Vendor Management about meetings, greeting and escorting vendors for onsite meetings with the IT leadership team(s) at locations.
- Aid with planning and setup of extraordinary events (i.e., holiday events, lunches, etc.) and work with IT Leadership and project team members with the scheduling of meetings, documenting outcomes, and producing status updates. This may include coordinating refreshments, meeting rooms, and supplies as proper.
- Assist IT Leadership with general activities such as reporting, meeting minutes, and follow-up on project information and action items.
- Scheduling, coordinating, and calendar management for remote meeting events and any onsite conference rooms
- surrounding Metro Nashville locations, as needed.
- Work with various levels and areas of responsibility using collaboration and meeting conferencing software such as MS Teams and Zoom
- Perform other duties as assigned.
- Strong planning, organizational, and execution skills as well as the ability to set goals and meet deadlines.
- diligence, an elevated level of confidentiality, and a flexible attitude is an absolute must.
- Requires a minimum of 6 years of related work experience.
- Excellent MS Office skills including MS PowerPoint and Microsoft Teams
- Superior written and verbal communication skills needed.
