The Entry Level Property Administrator provides support and assistance to the Property Manager in the management of a portfolio of commercial/office real estate properties. This position is involved in all aspects of the day-to-day operations of the properties, including tenant relations, maintenance and repairs, rent collections and lease administration. This is an entry level position in a growing company. Advancement is possible for the right candidate as they learn and excel in this position.

The Property Manager and Property Administrator are charged with supporting management’s efforts in the day-to-day implementation of policies and procedures that will assure well-managed, well maintained properties, placing maximum emphasis on positive responses to the concerns of the tenants, as well as environmental and fire life safety issues in concurrence with the owner’s goals and objectives.

Specific and General Duties
- Provide excellent tenant/customer service. Respond to tenant requests or problems in a timely and courteous manner, generate work orders directed to vendors. Follow-up with tenants to ensure satisfactory resolution of the issue. Keep information up to date.
- Assist with establishment of the property management plan, preventative maintenance policies and procedures and property operations.
- Provide scope of work and obtain bids from contractors for repair and maintenance projects at the property.
- Assist in production of monthly and annual reports as well as preparation of transaction related documents.
- Maintain various schedules, including lease renewals, tenant information data, repair and work order log.
- Actively participate in monthly rent collections and implement necessary procedures for collection of delinquent accounts.
- Ensure property and lease files are properly maintained and kept up to date. Prepare and maintain appropriate tenant lease files, records and correspondence.
- Assist accounting department with questions related to the property, accounts payable and resolution of vendor issues.
