What are the responsibilities and job description for the HUMAN RESOURCE ASSISTANT position at BGSU Dining/Chartwells?
- Provides directions to managers, clericals and associates regarding employee relations.
- Knows and practices principles of HR, recruitment, payroll, and employee relations.
- Maintains a Human Resource Information System (HRIS).
- Processes recruitment, applicant tracking, interviewing, and onboarding. Reviews and distributes both permanent and student applications to unit managers and clericals.
- Verifies I-9 documentation, completes I-9 forms. Tracks and initiates updates as required. Works with E-Verify to correct issues with associate’s I-9. Complete international students’ I-9 by obtaining their I-20, I-94, Passport, Social Security card, and VISA. Reviews and directs associates of TNC issues to the DHS and/or SSA office.
- Submits the online investigation requests and assists with new employee background checks. Follows up to ensure background checks are completed and approved through Checkr. Works to correct issues that associates have made, when completing their background checks.
- Trains and guides all new clerical hires for each unit. Instructs clericals in Compass Manager. Train other staff members to perform work activities, such as using computer applications.
- Assist HR Coordinator (backup) in approving time and month end, enters referral bonuses, prints paystubs and W-2s. Enters gratuity and tips. Identifies and locates associate’s paychecks.
- Assists with corrections to associates benefit entitlements, promotions and status changes. Updates HR spreadsheet with employee change requests and processes paperwork.
- Corrects associates tax issues. Adjustments to International Students tax-exemption claims.
- Processes permanent and student terminations.
- Prepares new employee files. Issues uniforms, BGSU and clocking-ID numbers. Data tracking. Creates and issues nametags.
- Grants BGSU External ID numbers and Compass Manager Access to new manager.
- Compute, record, and proofread data and other information, such as records or reports.
- Review files, records, and other documents to obtain information to respond to requests.
- Makes photocopies, faxes documents and performs other clerical functions.
- Files papers and documents into appropriate employee files.
- Coordinates and plans for special events, premium dinner and employee recognition dinner.
- Maintains uniform inventory; complete and distribute monthly birthday cards. Facilitates work orders and maintain inventory for all of HR hiring documentation.
- Prepare meeting agendas, attend meetings, and record and transcribe minutes.
- Assists HR Manager with various research projects and/or special projects.
- Complete work schedules, manage calendars and arrange appointments.
- Advises associates on improper procedures and policies.
- Assists with the preparation of the performance review forms.
- Insure online mandatory trainings are complete by all who are required.
- Greets and assists visitors and sales representatives. Receives and directs incoming calls, distributes mail for office personnel and dining facilities.
- Knows and adheres to Bowling Green State University and BGSU Dining rules and regulations.
- Communicates positive values to staff and customers through actions, provides high quality customer service.
- Support the mission, core values and practices of BGSU.
- Deals with emergencies.
