Overview
The Project Coordinator is responsible for assisting with assigned projects, ensuring their successful execution by coordinating tasks, tracking project progress, and facilitating communication among stakeholders. This role requires strong attention to detail, organizational skills, and the ability to manage multiple responsibilities simultaneously while supporting the Senior Project Manager (SPM) and Project Manager (PM).
Responsibilities
Essential Functions/Major Duties:
Project Support & Execution:
- Assist in developing and executing project work plans, schedules, and procurement strategies.
- Support the project execution plan and ensure compliance with contract documents.
- Perform detailed reviews of drawings, pre-fabrication assembly plans, and procurement plans for materials.
- Assist in subcontracting strategy development with guidance from the Senior PM.
- Monitor project costs, track expenditures, and provide cost-to-complete forecasts monthly.
- Help prepare project invoicing using Earned Value, Schedule of Values, or other contractual methods.
- Ensure that all project deliverables align with contract specifications and company standards.
Scheduling & Coordination:
- Assist in organizing and facilitating bi-weekly or weekly scheduling meetings to review project progress.
- Develop mitigation strategies for schedule variations and delays.
- Make frequent job-site visits to coordinate with the project superintendent, subcontractors, and customers.
- Ensure all project certificates and close-out documents are submitted per contract requirements.
- Participate in project kick-off meetings and post-job lessons-learned discussions.
Financial & Administrative Oversight:
- Prepare labor and cash flow forecasts for the project lifecycle, updating them as needed.
- Review and monitor project job cost reports to align with estimates and financial targets.
- Assist in processing and approving accounts payables related to project expenditures.
- Ensure accurate documentation, including progress reports, permits, and compliance documents.
- Back up administrative duties as needed.
Qualifications
Competencies (Knowledge, Skills & Abilities):
- Ability to manage multiple tasks and work in a fast-paced environment.
- Strong understanding of construction contracts, project schedules, and earned value measurement.
- Experience with procurement, budgeting, and cost-tracking methodologies.
- Proficiency in Microsoft Office Suite and Bluebeam; knowledge of Vista Viewpoint is a plus.
- Strong communication and interpersonal skills to coordinate with internal teams and external stakeholders.
- Ability to anticipate and mitigate project challenges using sound judgment.
- Demonstrated ability to interpret technical documents, construction drawings, and financial reports.
- Knowledge of the natural gas industry is preferred.
Qualifications:
- Preferred: Associate’s degree in Engineering, Construction Management, or related field experience.
- Prior experience in construction project coordination or project support roles.
- Willing to do a Field Stent for 6-9 months if no prior industry/field experience
- Willingness to travel frequently for pre-bids, job site visits, and project coordination.
