We are looking for an energetic, self-motivated individual who is looking for an entry level position to work PART TIME, Mondays and Wednesdays, at our independent insurance agency as a Receptionist/Administrative Assistant.

Essential Job Functions
- Welcome and assist walk-in clients, including the processing of payments.
- Answer all incoming phone calls to the multi-line phone system and direct the calls to the appropriate agent or into the correct voicemail, making sure to keep a phone long of all incoming calls.
- Separately log and track specific types incoming calls as requested.
- Answer general unlicensed logistical inquiries from clients such as directions to the office, company phone numbers, faxes, emails or websites.
- Receive, date stamp, categorize and distribute all incoming mail
- Receive all incoming packages and make sure they are distributed accordingly
- Process payments mailed in by clients
- Prepare equipment in large conference room for use each morning, no later than 8:40am. Log out and turn off equipment at 4:30pm.
- Mail cover letter and additional driver questionnaires to clients
- Mail cover letter and ID cards for newly acquired vehicles and newly purchased auto insurance policies to clients
- Assist in general office mailings as needed
- Double check documents have been scanned correctly before recycling
- Act as administrative assistant in charge of posting outgoing mail as needed, including dropping posted mail at post office at the end of the day.
- Be willing and available to step in and do other tasks as assigned.
Light Housekeeping and Inventory
- Keep reception area tidy and welcoming
- Monitor conference rooms 2-3 times daily for tidiness and keep beverage refrigerator stocked for clients
- Keep inventory and order accordingly all office related supplies
- Assist in the preparation and mailing of Commercial Lines policy renewals, a task that requires attention to detail especially regarding spotting differences or errors.
- Maintain a uniquely designed in-house sales department diary system designed to generate monthly sales leads which requires the punctual generation and mailing of insurance quotations with accompanying sales letters.
- Assist in general office mailings, some of which are designated to be mailed on daily or monthly basis.
- Prepare and send personal lines insurance binders, which requires adherence to a strict deadlines and attention to detail.
- Be willing and available to step in and do other tasks as assigned.
