The Role, At a Glance:
At Biamp, our Executive Sales Assistant provides high-level administrative support to the Vice President of Sales by coordinating various sales activities and recurring events, preparing sales reports, addressing information requests, and performing administrative functions such as preparing correspondence, receiving and touring visitors, scheduling and coordinating conference calls and meetings. The role requires experience as an EA, with a warm and welcoming character.
How You'll Contribute:
- Manage and maintain VP Sales day-to-day activities
- Make travel and accommodation arrangements for VP Sales with consideration of schedules, expenses, and efficiency
- Manage and/or coordinate special projects as requested by the VP Sales
- Lead annual Global Sales Meeting planning, coordinate across various internal functions, and drive successful execution of the event
- Sales events leadership; plan and coordinate events for successful outcomes
- Plan and prepare agendas for various Sales meetings conducted throughout the year
- Process expense reports through Concur Solutions
- Manage and coordinate the Company’s SWAG program containing promotional items used in the sales process
- Answer phone calls and direct calls to appropriate parties or take messages
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
- Maintain records and generate reports; utilize word processing, spreadsheet, database and other software as required
- Attend meetings to record, compile, transcribe, and distribute minutes
- Draft written responses or replies by phone or e-mail when necessary
- Respond to regularly occurring requests for information
- Lead Dealer/Customer HQ visit program; coordinate all associated meeting logistics
- New employee on-boarding; delivers product/solutions training
- Other duties as assigned
You'll Also Support With:
- Maintaining a HQ product demo room containing the most current company products to conduct virtual Customer product demonstrations
- Remaining current in the demonstration of existing products and acquiring the skills necessary to demo new products as they enter the market
- Scheduling and delivering professional and compelling customer product demos at the request of the sales account manager
A Successful Candidate Should Have:
- Bachelor's degree required
- At least ten (10) years of experience, including seven (7) years of experience, as an Executive Assistant
- Knowledge of administrative and clerical procedures and systems such as Microsoft Office Suite, managing files and records, and other office procedures and terminology
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
- Ability to consider the relative costs and benefits of potential actions to choose the most appropriate one
- Ability to adjust actions in relation to others' actions
- Ability to Manage one's own time and the time of others
- Ability to develop specific goals and plans to prioritize, organize, and accomplish your work
